The opportunity

Global Wealth & Asset Management (GWAM) is a key growth segment for Manulife. We operate three different channels (Retail, Retirement and Institutional) and are a major player in North America, Asia and Europe.

Our Retirement business serves over 8M customers worldwide, gives over 50% of GWAM earnings and is well positioned in all of our key markets.

Reporting to the Head of Finance & Strategy, Global Retirement, the Executive Assistant will play a key role in providing administrative support for a team of 8 senior leaders located in Canada and the US. The individual will demonstrate initiative, effective communication, and strong organization and collaboration skills.

Responsibilities:

  • Interact with key personnel across Manulife and Global Wealth & Asset Management, including senior management and functional partners, in a highly professional manner
  • Schedule meetings and proactively prepare associated details, including agendas/materials, catering, etc.
  • Handle multiple calendars
  • Handle employee onboarding/offboarding process for the team
  • Maintain distribution lists for various communications
  • Arrange and coordinate travel, including travel agendas and meeting schedules
  • Complete expense reports and maintain detailed records of expenses
  • Perform other duties as assigned, such as taking minutes of meetings or other administrative functions
  • Handle access rights to team shared drives and applications, ensuring compliance with corporate policy
  • Facilitate resolution of IT problems
  • Coordinate and lead special projects as assigned, ensuring accurate and timely completion of tasks
  • Support process improvements, including documentation, and make recommendations regarding changes and solutions to issues or problems
  • Use various applications to produce reports, spreadsheets, presentations, and other documents
  • Maintain awareness of Manulife and Global Wealth & Asset Management policies, practices and overall organizational awareness to support and communicate on behalf of team members
Key attributes and behaviors:
  • 3+ years of related experience
  • Bachelor's degree preferred
  • Bilingual (English and French)
  • Proficiency in all MS Office applications ( Excel, Word, Sharepoint, Outlook , Powerpoint, etc)
  • Strong interpersonal and communication skills, both verbal and written.
  • Demonstrate tact and professionalism in interacting at all levels of the organization and maintain confidentiality
  • Ability to balance multiple priorities while maintaining a high degree of accuracy and attention to detail
  • Flexible and adaptable when dealing with change, including changing priorities and tight deadlines
  • Strong problem-solving skills and analytical skills; ability to investigate problems without supervision
  • Excellent organization and time management skills
  • Able to work both independently and on a team in a fast-paced environment
