Job Description

The Air Line Pilots Association, International (ALPA), the largest airline pilot union in the world and the largest non-governmental aviation safety organization in the world seeks a Bilingual Administrative Assistant for our Montreal office. ALPA represents more than 65,000 pilots at 40 airlines in Canada and the United States. The Bilingual Administrative Assistant is responsible for all aspects of the daily operation of the TSC Master Executive Council (MEC) office while providing administrative support to the MEC Officers and committee members to successfully meet MEC goals and objectives. They translate Association and/or legal documents from English to French and French to English, as needed and/or requested. They also record meeting notes in English and/or French and coordinate communication for the TSC MEC and the flow of information between the MEC, committees, members, and ALPA National.

This position is currently classified as part-time, working twenty-four (24) hours per week, with the potential of being upgraded to full-time status within twelve (12) to eighteen (18) months of hire.
This position is located in our Montreal office - minutes away from Montreal-Pierre Elliott Trudeau International Airport and the Place Vertu mall - at 7575 Trans Canada Highway, Saint-Laurent, Quebec, H4T 1V6. The expected hours of operation for this position are Monday through Thursday from 10am to 4pm. There may be limited opportunities for episodic remote work, depending upon the needs of the TSC MEC. All requests for remote work must be approved in advance by the TSC MEC Chair and/or Supervisor, Outbased Administration.

Travel required: 5 - 15%.

Minimum Requirements:

  • High school diploma (DES) or the equivalent combination of education and experience, Diploma of College Studies (DCS) or equivalent preferred.
  • One (1) year of related experience, three (3) or more years preferred; or, the equivalent combination of education and experience.
  • Two (2) or more years of experience translating complex business and/or legal documents from French to English and from English to French.
  • Legal experience strongly preferred.
  • Full professional or bilingual fluency for oral and written communications in French and English required; the ability to translate oral and written communications from French to English and English to French is required.
  • Ability to transcribe, take fast notes, and/or shorthand strongly preferred.
  • Able to prepare documents and emails without grammatical, spelling, or typographical, errors.
  • Solid communication and interpersonal skills, as well as diplomacy and tact, to work effectively with all levels of employees, membership, management, and the public.
  • Software: Microsoft Office Suite, Outlook, Word, Excel, PowerPoint, and Access.

Constantly operates a computer/smartphone/tablet. Regularly required to maintain a stationary position, move about the office and the Greater Montreal metropolitan area, determine what others have said or written, and frequently converse with others and exchange accurate information.

Regularly required to sit, stand, bend, reach, and move about the office and travel (locally, nationally, and occasionally internationally). Also includes occasional bending, stooping, squatting, and/or pushing and pulling or moving, e.g., to pack, unpack, and/or move cases.

Required to move, raise, reach, and/or retrieve binders, books, boxes, and files up to ten (10) pounds (lbs.). Sporadically, could be responsible to move, raise, reach, and/or retrieve binders, boxes, cases, and/or files weighing as much as 25 lbs. While on travel, could be responsible to move, raise, reach, and/or retrieve luggage weighing as much as 50 lbs. (Assistance may not always be available.)
