Essential
  • Successful completion of a high school or college diploma with relevant experience in the field of Office administration;
  • A minimum of two (2) years of experience in providing administrative and secretarial services;
  • A minimum of two (2) years of experience in organizing and preparing a variety of documents, reports and presentations;
  • Experience processing invoices;
  • Experience maintaining budget spreadsheets;
  • Experience tracking and maintaining data on various activities, projects and initiatives;
  • Knowledge of methods, techniques and practices related to general administration and office support planning and coordination;
  • Knowledge of protocols when working with senior executives and when dealing with management and other senior stakeholders;
  • Advanced knowledge and experience with Microsoft Office Suite, specifically Outlook, Excel and Word.

As a full-time Administrative Assistant at our Ottawa Training Centre, you will be the face and voice of an accredited, innovative training organization providing high-quality services throughout the country.The range for this role is expected to be $18.00- $20.00 per hour. The rate will be commensurate with education and experience of the successful candidate.Take an inside look at what you'll do each day
  • Direct incoming calls and emails received and provide clients with information about our centre and our courses
  • Be the first point of contact for clients in the training centre
  • Organize daily courses, training calendars, reports and other correspondence
  • Enters client data, client charges, collect payments and issues receipts
  • Manages the Instructor and training schedule for upcoming courses and scheduling courses
  • Manages client care
  • Perform general office duties and provide administrative support
What You Need To Be Successful
  • 1 to 2 years experience in a reception or customer service role is an asset
  • A post-secondary education in office/business administration is an asset
  • Experience using Microsoft Office (Word, Excel and Outlook) and a publishing program (PDF)
  • A professional approach to customer service
  • Pay attention to detail
  • A creative approach with a can-do attitude
  • Effective problem-solving skills
