Brief Description:
Our employer is a PPE manufacturer looking for an individual responsible for managing the entire tender process-from identifying opportunities to finalizing contracts-ensuring proposals meet regulatory standards in the PPE and safety supply sectors. They work closely with multiple teams to create strong, compliant bids that help win major contracts in public and B2B markets. Additionally, they maintain and optimize the CRM system to ensure accurate data, generate insightful reports, and support users, helping the company make informed decisions and improve bid success.
Job Function:

  • Lead the full tender lifecycle: From opportunity identification to post-submission follow-ups, including clarifications, negotiations, and onboarding.
  • Interpret complex specifications: Including regulatory and technical requirements, ensuring alignment with PPE industry standards (CE, CSA, ANSI, ASTM, EN).
  • Develop compelling proposals: Tailored to diverse sectors, highlighting their value proposition and product strengths.
  • Collaborate cross-functionally: Coordinate input from sales, operations, regulatory, logistics, and finance to prepare complete and compliant submissions.
  • Manage bid platforms and channels: Including MERX, Biddingo, Ariba, Bonfire, and other federal and provincial portals.
  • Maintain compliance documentation: Such as product certifications, safety data sheets, and technical spec sheets.
  • Optimize internal processes: Establish and manage systems for bid tracking, win/loss analysis, performance metrics, and compliance controls, along with a strong emphasis on CRM system utilization for reporting and process enforcement.
  • Manage CRM database integrity: Oversee the accuracy, completeness, and cleanliness of all CRM data related to leads, opportunities, accounts, and contacts.
  • Implement CRM data governance: Develop and enforce policies and procedures for data entry, de-duplication, and data hygiene to maintain high data quality.
  • Generate CRM reports and dashboards: Provide actionable insights on bid pipeline, win/loss rates, customer engagement, and sales performance using CRM analytics.
  • Provide CRM user support and training: Act as a subject matter expert for CRM users, offering guidance and training to ensure effective system adoption and data input.
  • Track market trends and client needs: To inform bid strategy and align proposals with evolving procurement demands and create reporting dashboards.

Job Requirement:
  • Proactive, collaborative, and solutions oriented.
  • Strong analytical skills, with the ability to interpret complex data and translate it into actionable insights.
  • Bachelor's degree in business, Supply Chain, or a related field.
  • 3 - 4 years of bid/tender management experience, experience in PPE or related safety/medical supply sector will be preferred.
  • Experience managing and utilizing CRM systems (such as Salesforce, Dynamics 365, or HubSpot) for data administration, reporting, and system maintenance.
  • Proficiency with Microsoft Office Suite and CRM tools.
  • Excellent written and verbal communication skills.
  • Proven success in winning major contracts in the public sector or B2B environments.
  • Strong knowledge of PPE product certifications and regulatory frameworks (e.g., CE, EN388, CSA, ANSI).
  • Experience in CRM data administration, management, or advanced usage.
  • Advanced proficiency in CRM tools (e.g., Salesforce, Dynamics 365, HubSpot) for data entry, reporting, and system maintenance.
  • Excellent written and verbal communication skills for high-quality proposal and stakeholder interactions.
  • Proficiency in Microsoft Office Suite
  • Strategic thinker with strong commercial awareness.
  • Highly organized with exceptional attention to detail and data accuracy.
  • Confident in leading cross-functional teams under deadline pressure.
