Club Coordinator -
Reporting to the Children's Program Director, this position will be responsible for overseeing the day-to-day operation of one satellite program location. This position will also be responsible for the direct implementation of all OSC programs, BGC directives and licensing requirements as directed by the organization. The Club
Coordinator is responsible ensuring the correct filling, supervising, and staffing their program locations. A Club
Coordinator represents BGC and will do their utmost to develop and maintain a positive relationship with any co- workers, school partners, parents, community partners, and community members associated with the organization in any capacity. Club Coordinators will always represent BGC Strathcona County and its interests as an essential part of the leadership within the organization.
OSC programs operate from 6:30am to 9:00am and from 3:00pm to 6:00pm Monday to Friday. Early dismissal days are from 2:00pm to 6:00pm on the first Wednesday of every month and Professional Development Days
OR Out of School Days is scheduled from 6:30am to 6:00pm. Club Coordinators must be on call to be reached in cases of emergency from 6:30-6:00pm Monday to Friday. All BGC Strathcona County staff are expected to be punctual and always interact in a professional manner.
Program Development & Implementation
1. Develop and implement captivating, ever changing, and engaging programs that align with the BGC core values. Ensure programs are age appropriate while always being developmentally suitable for the various ages we serve. All activities must meet the physical, intellectual, spiritual, and emotional needs of participants that attend each program.
2. Implement program directives as assigned from Children's Program Director.
3. Ensure all licensing requirements are met at program location. Including all proper documentation is posted, staff certifications, menus, calendars, and level requirements are met.
4. Co-ordinate and manage all OSC programs including the development of all activity plans, staff facilitation and provision of BGC equipment and supplies.
5. Ensure programs provided meet requirements of grant applications and/or of funding organizations.
Maintain information required for reporting including statistical and financial information and prepare reports as required.
6. Help in support of the creation and ensured implementation of programs to recognize significant days and events such as Anti-bullying Day, Truth & Reconciliation, Black History Month, Earth Day, etc.
7. Ensure the creation, implementation, budgets, staffing, and program plans for successful out of school care days. PD days, Fall break and Spring break programming.
8. Ensure that all programs provide a safe and caring environment, promotes positive child and youth development while providing mentoring opportunities for all children and youth.
9. Work to develop positive relationships with all BGC Strathcona County staff.
10. Ensure the successful opening and closure of all BGCSC Satellite locations.
11. Ensure the successful implementation of selected volunteers into all identified children's programs as directed by Children's Program Director.

13. Ensure BGC Program Staff fulfill expectations of position as detailed in "BGC Program Staff - Job
Description". Implementation of correct training, mentorship, and discipline as necessary when these expectations are not performed to the standard required. Set realistic goals and facilitate opportunities for BGC Program Staff to grow, develop, and practice skills necessary for success within OSC program locations.
14. Communicate effectively with Children's Program Director, Executive Team & BGC Program Staff team.
Encourage team building, commit to being a positive member of a great work environment, and develop positive working relationships through accountability, reliability, and constructive feedback. Utilize the strengths of your team and the individuals it is comprised of to best achieve a successful program.
15. Ensure club location complies with all aspects of childcare licensing requirements.
16. Supervise and assist BGC Program Staff. Assist where needed with club maintenance program facilitations, and cleaning duties as required, including the ongoing maintenance of and accountability for BGC equipment.
17. Supervise and assist with the sign-in and sign-out system, ensure all children unaccounted for have there whereabouts confirmed in a timely fashion.
18. Demonstrate full awareness of work health and safety issues/procedures including emergency procedures. Take a lead role in promoting and supporting safety and well-being of children and staff. Anticipating and responding appropriately to potential threats.
19. Ensure the safety and security of the club locations and its members, assist where needed in responding to critical incidents and follow up on incidents in accordance with the policies and procedures in place.
20. Help identify gap areas and training that would benefit staff to the betterment of the organization. Help assist Children's Program Director & Executive Team in the assignment of such trainings for program staff.
21. Participate and facilitate all scheduled staff meetings and trainings, send monthly reports on program location activities and relevant information of programs to Children's Program Director to enable to correct reporting to Director of Operations.

Administration
23. Maintain administrative and financial information as required - including collection, receipting, and tracking of fees, top up tracking, attendance records and numbers tracking, registration and wait lists, emergency contact binders and forms, staff certification binders, medication forms and other items.
24. Complete administrative tasks including but not limited to answering emails within a timely manner minimum of 4 times a day, incident reporting reviews and filing. Ensure the creation of monthly calendars, newsletters, program plans, board reports and acquiring and preparing supplies.
25. Ensure club attendance is adequate for financial sustainability at a given club location. Support Children's
Program Director, help support a succession plan if needed to regulate attendance over the long-term.
26. Notify the Club Administrator, Club Coordinator and Director of Operations when a member joins or ends their time at the club, fees are unpaid, or any relevant changes to their registration/attendance is made.
27. If required contribute to strategic planning process on observed needs, parent input and information from collaborating community organizations. Ensure the correct implementation of all organizational policies and procedures at all club locations.
28. Manage monthly location cash advance, contributed where needed input to yearly budget, and keep expenditures within applied monthly budget.
29. Assist Childrens Program Director in the hiring, firing, and maintenance of staffing schedule for all BGC
Program Staff Positions as required.
30. Collaborate to ensure a positive and engaging experience for members and program staff who are at your location.
31. Confirm accuracy of staff top up hours, timesheets, and requested documents
32. Ensure all children's program budgets are input and reconciled correctly in a quick and effective manner.

Public Relations
34. Ensure a healthy relationship and effective communication between coworkers, school staff, club parents, members, community partners, and club staff. Act only as a liaison, when necessary, in any capacity required.
35. Ensure the visibility of club programming through weekly schedule posting, event announcements, and dissemination of information through various means including following a social media post schedule and the creation of promotional materials.
36. Communicate and support program staff to communicate with parents or guardians of child's observed behaviour and social interactions, explore available options to improve the child's experience at BGC.
37. Represent the BGC at club fundraisers and special events. Encourage participation from staff and role model investment in the BGC mission.
38. Wear staff uniform and appropriate attire during program hours.

40. Represent the club in an appropriate manner while on shift and off shift and in public.
Transportation
41. Work with Director of Children's Programs to ensure the successful planning of program transportation within all children's programs.

Position Requirements & Qualifications
Required qualifications in childcare as per licensing requirements (Level 2 or 3). Or approved work plan to acquire level 1, 2, or 3.
Demonstrable skill and enjoyment in working with children, have an excellent understanding of school- aged children and knowledge of effective methods of managing, caring, and promoting positive behaviors with children.
Knowledge, experience and/or education of program planning and development, coordination, and implementation.
Ability to form positive relationships with staff, children, and parents.
Ability to work independently and within a team that embraces collaborative practices.
A commitment to personal and professional development.
Knowledge of supervisory principles and practices.
Knowledge of computers and related experience with Microsoft software.
Skill in organization and work-load management for oneself and others.

Minimum of 2 years experience working with children and youth.
