Job Description


We are seeking a meticulous Banquet Coordinator. As the banquet coordinator, you will be responsible for assisting with the staff schedule, ensuring that banquet operations run smoothly, and prioritizing the comfort and safety of our guests at The Explorer Hotel, Yellowknife NWT.

To be a successful Banquet Coordinator, you should have strong leadership skills and be able to manage multiple streams of information. Ultimately, a top-notch banquet coordinator should remain calm in highly stressful situations and demonstrate excellent time management and organizational skills.

Banquet Coordinator Responsibilities:

  • The Banquet Coordinator will work primarily alongside the Events Manager and is responsible for assisting in all event operations including office duties and on the floor event execution.
  • Perform the daily administrative duties for the Banquet Department,
  • Creating food labels and other signage needed on a daily basis.
  • Be aware of upcoming groups and major conventions over the upcoming week.
  • Answering phones and confirming the schedule.
  • Coordinate all aspects of the banquet operations in conjunction with the Events and Banquet Manager.
  • Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events)
  • Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.
  • Prepare sales-related documents throughout the sales process (e.g., proposals, contracts, banquet event orders etc.)
  • Distributes weekly banquet event summaries to the appropriate departments.
  • Ensures that all inquires are entered into a proper inquiry form and qualifies the market and passes to the appropriate Catering Manager.
  • Perform other duties as required or assigned.
Banquet Coordinator Objectives:
  • To ensure that all banquet guests are served in a timely and efficient manner.
  • To monitor the cleanliness of the banquet hall throughout the event.
  • To have a good knowledge of the food and drink menus in order to be able to make recommendations to guests.
  • To be able to upsell products and service to guests to increase revenues.
  • To troubleshoot any problems that may arise during the course of the event.
  • To liaise with clients to ascertain their specific needs and requirements.
Banquet Captain Requirements:
  • High school diploma or GED.
  • Degree in hospitality or similar preferred.
  • A minimum of 3 years experience as a within the hospitality sector or similar.
  • Excellent leadership abilities and the ability to manage many staff members.
  • Excellent written and verbal communication abilities.
  • The ability to provide an excellent level of customer service, even in stressful situations.
  • Physically fit with good stamina for physical tasks such as moving and lifting furniture and standing for long periods of time. Ability to lift 20lbs.
  • Willingness to work long hours, irregular shifts, and on weekends and holidays.
