The National Arts Centre (NAC) is seeking an Automation & Process Improvement Manager to oversee the organization's internal operational workflows and productivity tools. This key role involves integrating Artificial Intelligence (AI) and automation tools institution-wide, ensuring efficient data operations while prioritizing and supporting a holistic approach to system efficiencies. This essential role collaborates across the entire institution, optimizing data and administrative operations while strategically enhancing system capabilities to ensure seamless, integrated functionality. Initially focused on improving current IM/IT and financial processes, the Automation & Process Improvement Manager will take on an additional leadership role supporting other enterprise system improvements (e.g. People and Culture, etc.), AI integrations, and other learnings over time.




Reporting to the Senior Information Manager, Archivist and Curator, the Automation & Process Improvement Manager will be a creative, innovative, positive and adventurous teammate who is energized by partnering with colleagues of all disciplines to advance the NAC's systems to a new digital frontier.



Conduct departmental workflow audits to identify inefficiencies, organizational-wide areas of improvement and recommend solutions; Design, manage, and implement new processes, powered by AI and automation, that streamline operations; Develop training programs to help employees work smarter, not harder; Collaborate with the NAC's service departments (Finance, Production, Operations, Food & Beverage, etc.) and set guidelines for establishing interoperable systems, allowing data to be shared between departments to support the work of the organization as a whole; Develop IM/IT departmental invoice, expense management, reconciliation, and vendor management processes and systems; Develop automated inventory management system of IT infrastructure, client devices, and software; Update and maintain IM/IT operational processes and documentation (disaster recovery, workflows, triage); Other duties as directed by the Senior Information Manager, Archivist and Curator Champion the use of collaborative productivity suites, workflow automation tools, and AI technologies across the NAC; Lead, educate, and facilitate the organization's transition from analog to digital systems, ensuring a smooth and effective transformation; Supporting IM/IT program deliverables, assigned projects/initiatives, management briefings, presentations, and reports; Continuously assess and refine internal processes to ensure they align with modern business standards and best practices; Stay informed on global advancements and emerging technologies in AI to ensure strategic adaptability and innovation; Act a bridge between departments to foster collaboration and alignment; Ensure that tools and systems are well-structured, transparent, easily accessible, documented, and available; Performs regular support check-ins and follow-ups with departments to ensure ongoing project viability and success; Perform regular reviews and audits of systems to tools to ensure compliance with NAC policy, Government of Canada Standards, and relevant legislation (e.g. Privacy Act); Prepares presentations and how-to documents for ease of onboarding staff; Host select NAC Lunch & Learns, introducing staff to new AI-driven tools; Work closely with NAC leadership to structure organizational, financial, and scheduling deadlines.

Skill Requirements

Post-secondary degree (or equivalent) in technology, IM/IT, computing, or a related field; or a combination of education and work experience. Minimum of 4-5 years large-scale project management experience; Advanced proficiency with Microsoft Office 365 (including PowerAutomate and MS Lists) as well as strong knowledge of generative AI platforms (ChatGPT, Gemini, Co-Pilot); Proficiency in analyzing processes and data to identify improvement opportunities; Robust problem-solving skills; Change management skills guiding teams through process transitions; Detail oriented; dedicated to quality; customer-focused; Proficient in oral, written, and interpersonal communication; Bilingualism: English and French language capabilities are a strong asset; Familiarity with project management platforms and tools is an asset; Knowledge of agile methodologies is an asset; Knowledge of AI/ML implementation how to integrate AI/ML capabilities into business processes and implementation strategies is an asset; Knowledge of Lean/Six Sigma methodologies is an asset; Project and Process management certifications (Six Sigma, CSM, PMP, SAFe, etc.) are an asset; Familiarity with arts organizations is an asset.
