Position Summary: The incumbent provides front-line support and first contact customer service for program inquirers, applicants, external partners, and funders, as well as students, staff, and faculty in the Augmented Education Department/College.
Key responsibilities:

  • Acts as the first point of contact for the Department by responding to fielding queries, addressing student/staff/faculty concerns, and resolving program operational issues, when necessary.
  • Plans and coordinates the routine activities associated with the cyclical nature of academic operations, such as orientation, start-up, scheduling, and course staffing.
  • Informs the Database Department of key changes to course information and program delivery.
  • Liaises with the Registrar\xe2\x80\x99s Office regarding critical dates and deadlines, student registration and withdrawals, graduation eligibility, credential requests and student records.
  • Establishes and maintains all departmental files and records. Coordinates, creates, maintains and verifies accuracy of College databases and systems including Banner and STU-VIEW.
  • Liaises with George Brown College\xe2\x80\x99s Marketing department regarding the program calendar, website updates and creation of promotional materials.
  • Produces and posts regular content on Augmented Education\xe2\x80\x99s social media platforms (Facebook, Instagram, and Twitter), monitors user activity and responds to program inquiries.
  • Assists the Program Manager in developing the Department\xe2\x80\x99s annual program budgets and expense forecasting.
  • Maintains, tracks, and processes financial budgeting, budget allocation and financial reporting for the Department and program funders. Processes all invoices, interdepartmental expense transfers and student honorariums and submits to Accounts Receivable for payment.
  • Collaborates, plans, and coordinates all Department\xe2\x80\x99s special events and activities including but not limited to the annual convocation dinner, stakeholders\xe2\x80\x99 luncheon, Mental Health Conference dinner, the final day program celebration and Food Court Social fundraiser.
  • Other duties as assigned.
Educational and Experience Requirements:
  • Three-year diploma or degree in Business/Office Administration or equivalent.
  • Minimum of three (3) years\xe2\x80\x99 progressive experience in an administrative role working in a dynamic office environment, preferably with significant diversity in customer/student service relations, possessing excellent communication skills and a proficiency in Microsoft Office applications as well as customer relationship management software (or equivalent).
  • Experience in proposal writing and funding reporting required.
  • Administrative and event planning experience.
  • Financial and budgeting experience.

  • Ability to lift over 20 kg or 44 lbs (i.e., office supplies, textbooks, transporting finished wooden products, delivery of heavy loads on a cart, etc.).
  • Able to travel off-site for meetings and special events on a monthly basis.
