MacEwan University is seeking an Associate Registrar, Digital Transformation: Enrolment, Curriculum and Scheduling Systems for a full-time continuing opportunity with the Office of the University Registrar.
The Associate Registrar, Digital Transformation: Enrolment, Curriculum and Scheduling Systems is responsible for the strategic and operational leadership of the University's student lifecycle technologies and supporting academic administrative technologies. This includes the student information systems (SIS), academic scheduling and timetabling technology, tuition and fee architecture, and governance-approved academic program technology.
You will play a critical role between academic governance and operational implementation. The Associate Registrar ensures that curriculum, academic rules, program changes, tuition/fee proposals, credential updates, and policy decisions made through governance bodies are translated into accurate, timely, and functional systems, processes, and services.
You will lead the university's digital transformation agenda within enrolment services by championing AI-enabled solutions, automation, modernization, and data-informed decision-making. The Associate Registrar is responsible for ensuring that systems, data structures, business processes, and governance processes actively support enrolment strategy, academic operations, and a seamless student experience.
Key responsibilities include:
Enrolment Systems Leadership & Digital Transformation
Providing student-centred vision and strategic leadership for the enrolment technology ecosystem, including SIS, CRM-SIS integrations, scheduling systems, degree progression and academic rules engines, and exam management platforms.
Supporting system interoperability and data integration to ensure consistent data management, aligned workflows, and accurate operations across multiple platforms.
Leading modernization initiatives that improve service, accuracy, and compliance through automation, AI-supported processes, and digitally enabled workflows.
Academic Governance Leadership & Implementation
Serving as a senior operational expert in academic governance, ensuring the integrity and operational feasibility of decisions made by governance bodies such as General Faculties Council and its committees.
Advising academic leaders, Deans, and governance committees on the operational, systems, scheduling, and fee implications of proposed academic changes.
Translating governance-approved curriculum, policy, and program decisions into system configurations, data structures, academic rules, and student-facing processes.
Scheduling, Timetabling, Space Optimization & Student Financial Architecture
Providing leadership for centralized scheduling, timetabling, section planning, and exam scheduling to ensure academic offerings accurately reflect governance-approved programs, curriculum rules, and pedagogical requirements.
Implementing algorithmic or AI-enabled scheduling and optimization tools to improve classroom and space utilization in alignment with institutional enrolment goals.
Collaborating closely with Deans and Associate Deans to ensure that scheduling practices support program needs, pedagogical requirements, and reflect enrolment goals.
Providing leadership to teams responsible for SIS functionality, system configuration, scheduling, financials, and enrolment system operations, fostering a culture of collaboration, modernization, service excellence, and strong academic partnership.
Developing long-term talent, strengthen team competencies, and support succession planning to build sustainable internal capacity across the portfolio.
Mentoring staff through ERP lifecycle changes, governance-driven academic updates, digital transformation initiatives, and the adoption of AI-enabled tools and processes.

SKILLS
You will have:
A deep understanding of academic governance structures, processes, policies, and the translation of academic decisions into operational and technical systems;
Expertise in SIS platforms (e.g., PeopleSoft Campus Solutions), academic structure configuration, and enrolment technology ecosystems;
An advanced understanding of curriculum rules, academic calendars, program structures, and governance workflows;
Familiarity with predictive analytics, modeling, and machine learning integration for developing decision-support systems;
Strong leadership in platform migrations, digital transformation, AI-supported modernization, and complex system implementation;
Excellent relationship-building, facilitation, and communication skills with academic leaders, faculty, and governance committees;
Sound judgement and systems thinking to propose and deliver solutions with a complex, integrated environment;
Strong analytical and problem-solving skills with the ability to translate business requirements into workable processes;
Strong project management skills related to academic operations, ERP lifecycle changes, and enterprise transformation;
Demonstrated ability to work collaboratively to meet objectives and provide a high level of service to internal client groups;
Excellent organizational and time management skills with the ability to adapt to changing and competing priorities and to meet deadlines; and
The ability to work in a dynamic and fast-paced environment, especially during peak times of year.
QUALIFICATIONS
A minimum of a bachelor's degree with a major in Information Systems (IS), Management Information Systems (MIS) or related discipline.
Project Management Professional (PMP) or related certification is considered an asset.
A minimum of 8 years of progressive experience in post-secondary enrolment systems, academic administration, scheduling with a minimum of three (3) years of people leadership experience.
Demonstrated experience with leading process improvement initiatives and projects.
Demonstrated experience working with or supporting academic governance bodies (GFC, Senate, curriculum committees, policy committees).
Experience in ERP/SIS transformation projects is considered an asset.
Leadership experience in a unionized environment is considered an asset.
An equivalent combination of education and experience may be considered.
