This position reports to the Assistant Registrar, Scheduling and Curriculum and will work with the Scheduling and Curriculum team to assist in the accurate and timely production of the university calendar and academic schedule.
Much of the work is deadline-driven during various peak periods, requiring strict attention to detail. The position works to support the Calendar Editor, Senior Degree Audit Coordinator, and the Scheduling team with day-to-day tasks and will provide opportunities to build an array of knowledge and skill in both curriculum and scheduling. The position requires prior PeopleSoft experience.
Summary of Key Responsibilities
(job functions include but are not limited to):
Assists Senior Degree Audit Coordinator in systematizing and testing Academic Requirements
Supports Scheduling team in processing course edits in CourseDog and PeopleSoft, ensuring accuracy of content and requisite builds to support student registration.
Assists Calendar Editor in preparation of notes and minutes.
Supports Calendar and Scheduling team with configuration, testing, data entry, communications, training, reporting and support for end users related to the new softwares
Edits web-pages as directed.
Attends/supports calendar working group.
Supports updates to the schedule using PeopleSoft, SharePoint and Ad Astra Schedule software, and runs appropriate jobs as directed to create the schedule of University classes.
Assists with creating and updating requisites, course restrictions and requirements in PeopleSoft.
Updates various special and non-standard fees required for courses, ensuring appropriate approvals are in place.
Listens and communicates effectively while maintaining a professional demeanor
Ability to multi-task and prioritize requests from multiple individuals.
Assists staff with both online and in-person meetings/training sessions
Qualifications / Requirements:
A post-secondary credential (certificate, diploma, degree) in a related field is required. Preference will be given to candidates who poses a bachelor's degree or higher level qualification.
A minimum 3 years of directly related experience in a university setting is required.
A minimum 1 year experience working in a post-secondary registrars' office.
Demonstrated experience working in an environment with peak periods and a high volume of inquiries.
Experience in working with Peoplesoft (student administration); Banner or similar student administration systems is required.
Experience investigating and troubleshooting curriculum management is required.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), as well as web-based collaboration tools and platforms. Experienced in leveraging email, internet research, and cloud-based applications to support efficient communication, data analysis, and workflow management.
Ability to readily learn & adapt to new technologies is required.
Demonstrated personal coping strategies, including the ability to manage stress levels that are moderate to high based on volume & demand.
