Position Summary:
Reporting to the Associate Dean of Student Affairs, the incumbent is responsible for the management of the student affairs professional team, which consists of managerial, clerical, and work-study (ASAPs) staff. Provide leadership throughout the academic cycle from admission to graduation. Implement administrative policies and procedures in support of the Faculty of Arts Advising and Student Information Services (OASIS) vision, mission and objectives. This includes all facets of office systems management, student advising, registration, reporting, and web interface management. Ease students' integration into University life, support students' learning and guide them towards a rewarding student life experience by offering a broad range of services in a supportive environment.
Primary Responsibilities:Provides senior professional expertise to implement a strategic plan for the Student Affairs Office. Stays on top of best practices in other universities in relation to student affairs and emerging trends related to student services. Set and manage workflow priorities. Leads and represents the Student Affairs Office in the operations of the Faculty, sets the standards for ensuring consistency of practice and maintenance of optimum service levels. Manages and reviews office procedures in light of Faculty and student needs and evolving policies. Anticipates problems and requirements and develops methods and procedures to resolve and/or accommodate these and to ensure the effective functioning of the system. Directly manage the student affairs team, which consists of managerial, clerical, and work-study (ASAPs) staff. Participate in recruitment with HR, trial/probation, performance dialogue, training, onboarding, etc. Verifies work, and workflow. Approve vacation and absences. Develops, recommends and implements operating and other budgets. Authorize expenditures, audit accounts and ensure compliance with University and departmental budget priorities. Ensures that all relevant documentation prepared by Student Affairs is up to date and accurately reflects University and Faculty policies and procedures. Ensures the up-to-date design, production and distribution of numerous forms and instructions sheets used by the unit within and outside the Faculty. Provides leadership for the pursuit of students' educational goals in relation to their academic and career plans. Identifies and makes recommendations for students who are experiencing academic performance issues, are failing or are at risk of failing. Assumes the lead role in liaising and fostering collaboration with internal and external partners, other Faculties, central services, etc. Oversees the planning and implementation of support for newly admitted students, students in poor academic standing, and international students. Attends senior-level meetings and represents the Faculty at these meetings. Serves as a senior advisor at Faculty committees with Associate Dean, Dean and other faculties within the university within the student affairs area. Manages a team of professional and administrative staff and provides opportunities for professional training to help staff perform in their current roles.

Other Qualifying Skills and/or Abilities:Experience in strategic planning with strong analytical and problem-resolution skills. Demonstrated experience in assessing staffing needs and streamlining workflows. Strong interpersonal skills with both faculty, staff and student populations. Proven experience and knowledge of University policies and procedures. Exceptional writing and communications skills. Results-driven, positive attitude, and highly motivated with strong leadership skills. Demonstrated ability to set clear goals and objectives and to motivate, train, coach and lead a team of managerial and clerical staff. Proven skills in planning, organizing, leading and implementing special projects. Ability to manage multiple tasks and meet deadlines. Strong proficiency with computerized applications, including Microsoft Office, Banner/Minerva SIS. Proficient in English and French (oral and written)
