Job Summary
The Faculty of Fine Arts is a diverse and complex Faculty with a complement of 120 regular faculty members and sessional instructors and thirty-seven support staff and professional employees. The faculty incudes the School of Music and the Departments of Art History & Visual Studies, Theatre, Visual Arts, and Writing
The Assistant to the Dean provides executive-level senior administrative support to the Dean. This role carries out a wide variety of academic, administrative and analytical tasks, including: liaising with other university departments on academic, faculty relations, and other matters; organizing meetings, managing multiple deadlines and key dates; preparing and distributing agendas and meeting information; taking minutes; assessing accuracy of information provided for meetings and record keeping of confidential information.
The Dean's Assistant works as part of the Dean's Office administrative team that support the activities of the Dean's Office and the Faculty of Fine Arts and contributes to the overall function of the office.
This position deals with highly confidential and sensitive information and is required to provide service and guidance to, external agencies and public with tact and diplomacy.
Job Requirements
Experience:
3- 5 years in a senior administrative support role, preferably in a post-secondary academic setting.
Related work experience should include:

  • interpreting and/or applying policy and procedures
  • using complex databases and spreadsheets
  • experience supporting senior level committees
An equivalent combination of training, education, and/or experience may be considered.
Knowledge/Skills/Abilities:
  • Advanced proficiency with computer applications (i.e., MS-Office Suite, Adobe Create Suite, content management systems)
  • Records management
  • Excellent organizational skills including attention to detail, time management, and ability to multi-task in a fast-paced environment
  • Exceptional administrative skills including meeting and calendar coordination
  • Awareness of Faculty and University priorities
  • Commitment to fostering respect, reconciliation, and inclusion for all students, partners, staff, and faculty from diverse cultures
  • Effective communication and interpersonal skills with demonstrated ability to relate well and work effectively within a team environment, as well as the larger UVic community and external agencies
  • Strong writing and editing skills
  • Experience in effectively maintaining the confidentiality of highly personal and sensitive information
  • Ability to handle complex and sensitive interactions involving students, faculty, staff, and/or partners
  • Ability to work independently with limited supervision and resolve tasks and/or problems by exercising judgement and innovation, and employing critical thinking and/or analysis
  • Ability to prioritize a large workload and deal with frequent interruptions
  • Possesses a strong sense of urgency and follow-through
  • Ability to work under pressure and meet strict and often emergent deadlines
  • Ability to record minutes
  • Ability to exercise initiative, good judgement, tact, and diplomacy
