About this Opportunity

The University of Victoria School of Nursing is a leader in undergraduate and graduate nursing education and research in partnership with different educational, community and practice organizations. The School offers the Bachelor of Science in Nursing degree (BSN) to prepare nurses to work with individuals, families, and communities, guided by health promotion principles. The BSN program is delivered through a collaborative partnership with colleges in British Columbia (Camosun College, College of the Rockies, and Selkirk College) and the Northwest Territories (Aurora College). The School of Nursing also offers two graduate degrees: a PhD in Nursing and the Master of Nursing Degree with four options: (Advanced Practice Leadership, Nurse Practitioner, Nurse Educator, and Double Degree in Nursing and Health Informatics).

The School is situated in the Faculty of Human and Social Development (HSD), a multi-professional faculty with a commitment to the student experience of dynamic learning in extraordinarily rich practice and community setting for vital impact on health and social development.

Job Summary

This role provides advanced administrative support to the School\'s faculty members and undergraduate BSN program delivery with organization of course materials, course evaluations, administration-set up-maintenance of course learning management sites. This positions provides financial management support with monthly cash deposits, reconciling FAST accounts and commercial credit card, and submitting expense reimbursements for NURS employees through the online expense management software. This position provides support and coordination to special projects and events. This position provides committee support (Curriculum and Evaluation) and support to the Academic Administrative Officer. Finally this position provides back up support to the Office Manager & Assistant to the Director as required during absences.

Job Requirements

Skills:
  • Excellent organizational and advanced administrative skills.
  • Exercise initiative to set priorities and adapt to changes to meet the department, faculty, and university deadlines.
  • Sharp attention to detail and accuracy.
  • Ability to work independently with limited supervision and resolve tasks and/or problems by exercising judgement, innovation, and employing critical thinking and/or analysis.
  • Strong interpersonal and communication (oral and written) skills and the ability to relate well and work effectively within a team environment as well as the larger UVic community and external partners.
  • Demonstrated proficeny intechnical support skills and knowledge, including database management systems and course delivery systems.
  • Ability to prioritize a large workload and deal with frequent interruptions.
  • Flexibility, adaptability, and comfort with procedural and technical change.
  • Ability to maintain a high level of confidentiality and professionalism.
  • Advanced proficiency with computer applications (i.e. MS-Office 365 Suite, Adobe Creative Suite, survey tools, content management systems).
Specialized Knowledge/Education:

Secondary school graduation or equivalent.

Experience:

Minimum of three (3) years of recent experience in a similar position, preferably in a post-secondary or institutional environment or an equivalent combination of education, training and experience.

Related work experience should include:
  • Experience with financial management.
  • Experience and knowledge in handling highly confidential and sensitive materials.
  • Experience with event planning and organization.
  • Interpreting and/or applying policy and procedures.
  • Using complex databases and spreadsheets.
  • Experience working effectively in socially and culturally diverse situations and able to respond to a wide range of needs from our diverse community.
Preference will be given to applicants with:
  • Familiarity with university systems (FAST Student, FAST Finance), policies, and procedures.
  • Demonstrated experience with learning management systems (i.e. Brightspace).
