Position Summary
Reporting to the Supervisor, Recreation Services, Programs, the Assistant Supervisor, Recreation Services, Programs is responsible for operation and delivery of City recreation programs and services. They develop and oversee the master scheduling of Fitness and Drop in programing (including but limited to racquet sports, open gyms, partner programs, outdoor winter rinks) and provides support to scheduling of other city owned amenities and facilities. The Assistant Supervisor ensures a high level of customer service is met in program areas. They provide recommendations to the Supervisor on programming and customer service improvements. They provide support on Recreational Software Programs, finance and administrative functions and assist in supervision and scheduling of staff.
KEY DUTIES AND RESPONSIBILITIES
Note: Pay Range is based on 2025 Rates of Pay
Assist with the supervision of part time, full time, and student employees; provide training, on-call support and develop staffing schedules.
Assist with financial management, assets/facilities, and capital projects; provide input into the annual operational and capital budgets; provide input into detailed business plans for the development and construction of recreational facilities and amenities; provide assistance in overseeing the collection and tracking of all fees associated with facilities bookings, prepare usage and financial reports.
Promote and represent the City for Fitness and Drop in programing (including but limited to racquet sports, open gyms, partner programs, outdoor winter rinks) prepare master schedules; liaise with, organize and facilitate meetings with user groups; distribute information on bookings and events; prepare weekly, monthly and yearly reports; address customer and user group issues; participate in projects either as a project leader or as a representative of the department; support the management team with marketing/promotional opportunities for city owned facilities.
Acts as a central contact point for all user-operational aspects of the various recreation services systems including but not limited to the recreation activity management system, and staff scheduling and management system.
Coordinates all system updates including testing to ensure any potential issues are addressed before systems are updated
Works with Information Technology Services to ensure systems and all associated technology meet Information Technology and Information Security standards and requirements.
Participates in various organizational and user groups regionally or provincially related to these systems.
Liaises with various divisions such as Information Technology Services and Finance in balancing and financial reconciliation of systems and troubleshooting system hardware issues.
Verifies system issues through communication and testing with users; prioritizes and contacts the vendor to resolve as required.
Maintains all system folders and SOPs.
Documents and updates all training manuals/documents.
Conducts both virtual and in-person training to applicable staff.
Researches and provides alternative solutions to management staff regarding applicable technology systems that could meet business needs.
Ensures instructor certifications, skills and knowledge are maintained and up to date.
Provide direction and information to staff including Customer Experience division on all aspects of Recreation and Leisure Services provision.
Ensures that program equipment is cleaned and maintained in good working order, including administering service contracts
Perform work in accordance with the provisions on the Occupational Health and Safety Act and Regulations and all corporate/departmental policies and procedures related to Occupational Health and Safety.
Ability to help cover Assistant supervisors in arenas, marinas, and sports fields; and room booking as required
Perform other duties consistent with the duties outlined above
Qualifications, Competencies
2 year post-secondary in business administration, recreation studies or equivalent.
Two (2) years' experience working in an administration and recreation environment, predominately in software programs; including experience with scheduling and liaising with community groups, facilitating user group meetings and with sporting events.

Knowledge of municipal policies/procedures/by-laws and applicable provincial/federal legislation and regulations
Ability to work under pressure and with tight deadlines
Ability to establish and maintain effective working relationships
Ability to work flexible hours and attend meetings outside regular business hours
Valid class "G" Ontario driver's license, and access to vehicle
Required to obtain and maintain satisfactory criminal record check
Bilingualism an asset
