With the goal of building a healthy and supportive community and a safe and stable housing environment, the Assistant Site Manager will work to support residents and staff to achieve the Mission, Vision and Values of Whole Way House Society. Tasks will include oversight of site calendars, services, day to day activities and organizational policies, site replication projects, staff management and second stage training.
Front line staff will report to the Assistant Site Manager who will liaise with the leadership team as needed.
The Assistant Site Manager will also support and advise Team Leads, Tenant Support Workers, Program Coordinators and other staff and may be asked to support or cover other Manager's sites and/or responsibilities. The Assistant Site Manager will ensure site and staff goals are met and report on these goals to the Leadership team.
The Assistant Site Manager will directly support residents and build healthy, supportive relationships through Whole Way House's Community Building Programs and Tenant Support services.
Main Duties and Responsibilities:
Oversight of programmatic calendars, program partnerships, and day to day activities and policies at assigned WWH site(s)
Oversight of all portfolio site purchase logs and monthly reconciliation, provide support to site staff as needed when completing monthly logs
Implementing and organizing programs and services based on resident needs, in accordance with the mission and goals of the organization under the leadership of the Director of Programs
Liaise with building managers and build healthy working relationships
Over seeing replication projects, office set up, supply management and working within a set budget and operating plans for the site
Managing multiple sites and teams with a diverse array of talents, needs and responsibilities
Provide inspired and supportive leadership for the team
Ensuring goals are met in areas including program elements and outcomes, resident engagement, safety, quality and team member performance and reporting on these goals
Help promote an organizational culture that encourages excellence, accountability, whole health, high morale and aligns with our values
Support worker communication with the management team
Second stage staff training, including shadow shifts and site specific tasks and goals
Responsible for site Open and Close ensuring all tasks are completed, holding other staff accountable to their tasks and punctuality
Site staff report to Assistant Site Manager if they are unable to attend their shift. Assistant Site Manager is responsible for shift coverage
Representing WWH with a professional and welcoming attitude to volunteers, donors, residents, staff, partners and others.
Ensure the office and programs are supplied and functional by monitoring inventories and managing supply orders.
Access to safe/petty cash and approved to make credit card purchases
Providing a variety of supports including: skills teaching, crisis intervention/prevention, advocacy, referrals to other services, engagement in programs, assisting with housing needs and navigation, assisting with housing stability and issues including assistance with room cleanliness, laundry, personal hygiene, accessing financial aid, behavioural issues, and more
Liaise with other mental health and health care providers, BC Housing, colleagues, physicians, community workers, landlords, external resources and family members on behalf of clients
Support and advise Tenant Support Workers and Programs staff with tenant support related issues
May be occasionally required to support other Manager's sites and/or responsibilities
Set up and facilitation of programs (daily, weekly, monthly, special)
General office and van cleaning
Hosting and coordinating volunteers and partner organisations for programs
Agreement or support of Whole Way House Society's statement of faith
Assessment of clients and their service needs
Developing respectful and trusting relationships with clients
Developing service plans and goals in partnership with clients
Developing and implementing strategies in partnership with clients
Linking clients to social supports, long-term supports, primary health care, addiction services
Providing a safe space for guidance and support for the residents, including engaging them in participating in programs and accessing resources available to them
Keeping up to date and accurate records regarding resident and program data, progress, success, feedback and potential development
Assisting Leadership team with organising and coordinating, workshops, fundraisers and special events
Requirements, knowledge and experience:
Must have a thorough grasp of WWH policies, procedures, vision, mission and values
Demonstration of critical thinking skills in situations that current WWH policy may not cover
Able to respond appropriately in an emergency, understands WWH emergency policy
Able to take charge and lead a team in a supportive, professional, and tactful manner
University degree and/or Community College Diploma in social services or related field preferred
Experience in community mental health, forensic mental health and crisis intervention
Experience working with homeless individuals preferred
Working knowledge of psycho-social rehabilitation and recovery principles
Experience in direct services delivery to adults in poverty with mental illness, concurrent disorders and addictions
Able to effectively identify and solve problems and follow through on initiatives.
Excellent interpersonal skills
Good written, reading and verbal communication skills.
Knowledge of landlord and tenant act, health care and community resources
Agreement with Whole Way House's Mission Statement.
Able to maintain confidentiality, ethically, regarding sensitive matters regarding the organization and its clientele.
Related experience working with community support programs and one on one counsel.
Valid Class 5 driver's licence preferred (not required).
Proficient use of Microsoft Office and Google Drive.
Ability to work independently; self-motivated and disciplined. Ability to work with a team, cooperative, contribution-oriented.
Willing to complete relevant courses and workshops (provided by WWH or our partners) as assigned by the President or Director of Operations.

Work Location -
Work is generally performed indoors, with up to 30% of the time spent outdoors in all types of weather.
Physical Requirements -
Duties require extended periods of standing and/or walking. Duties require occasional periods of climbing, pulling/pushing items, lifting/carrying items, keyboarding, reaching with hands and arms, stooping, kneeling, crouching, or crawling. Employees are required to look at a computer screen for up to 70% of the time. Must be able to lift up to 50 lbs occasionally. The employee is required to see, talk and hear.
Work Conditions -
This position may be required, at times, to work in an environment often dealing with clients in crisis brought about by diverse problems. The ability to function independently and frequently under pressure, while managing multiple concurrent tasks including emergency situations is an ongoing expectation of this position.
Hours of Work -
This position typically works 5 days per week onsite for 8 hours per shift. Some work on scheduled days off may be required. Moderate overtime may be required. Work on weekends and statutory holidays may be required.
Hazards -
Job requires some interaction with the public, some of whom may be upset, abusive, and/or violent. Job requires working with people in unhealthy conditions and may include exposure to bodily fluids, lice and bedbugs. Employee may be required to hear about clients' lives which may be troubling or upsetting, and may cause emotional issues including vicarious trauma.
