Director of Housing Services
The Assistant Property Manager is responsible for assisting the property managers with a wide range of duties including preparing tenant leases, setting up appointments, and receiving and processing tenant phone calls.
Qualifications:
The successful candidate will be a high school graduate with some post-secondary education (college, university, vocational, ARM, etc.) and have previous work experience in the property management field.
The incumbent will also satisfy the following additional skills/qualifications:
Possess computer skills including at minimum a proficiency with MS Word, Excel, and Outlook
Be able to conform to shifting priorities, demands and timelines
Strong organizational, time management, verbal, and written communication skills
Desirable:
Knowledge of or experience working in the not-for-profit subsidized housing sector
Experience with Spectra Property Management Software
Be familiar with the Residential Tenancies Act and landlord/ tenant responsibilities thereunder
Be familiar with the RTB, including attending and presenting at hearings, mediations etc.
Duties & Responsibilities:
The following listing is not exhaustive but does highlight some of the positions' main responsibilities:
Reception relief when other support staff unavailable
Prepare new tenant leases and set up appointments for signing
Liaise with Social Workers when info needed & fill out rent forms for tenants
Enter new information into data base
Lease Renewals-gather tenants' new income verification and input adjustments in the data base on a monthly basis.
Follow up on all lease renewals-correspondence to tenants on outstanding renewals
Audit tenant ledgers when there is a discrepancy
Prepare rent adjustments to tenants account when income fluctuates
Update monthly auto-debit changes to tenants' accounts
Prepare and mail move-out packages to tenants-update tenant's file in database
Maintain all parking stall allocations-prepare lease amendments for tenant's signature and update the database accordingly
Prepare and mail letters to tenants re: noise & disturbance, unpaid utility bills and unauthorized occupants as required
Handle many phone calls and walk-ins from tenants relating to their lease, amendments, and general information
Assist the Property Manager with other duties as required
