The Assistant Property Manager will support the Senior Property Manager in overseeing the day-to-day operations of multiple properties within the portfolio. This role ensures properties are well-maintained, tenants are satisfied, and financial performance meets company objectives. Responsibilities include operational oversight, tenant relations, financial management, contract administration, and capital project coordination.
RESPONSIBILITIES
Property Operations & Tenant Services
Assist in managing daily operations of assigned retail, industrial & suburban properties.
Conduct regular building inspections to maintain standards and compliance.
Oversee Tenant Services, Property Administration, Payables, and Office Administration.
Communicate with the Senior Property Manager regarding operations and any unusual matters that might affect approved plans and budgets.
Financial Management
Assist with the development, submission, and administration of the annual operating budget.
Help prepare and monitor property budgets and financial reports.
Assist with the preparation of monthly financial reports with the accounting department for senior management review.
Assist in the delivery of accurate financial planning, reporting, and control for operating and capital budgets.
Oversee rent collections and follow up on delinquencies as required.
Contract & Vendor Management
Assist in the review and negotiation of building services contracts to ensure cost-effective practices.
Oversee administration and ensure timely organization of all contracts and related files.
Coordinate with vendors for services such as cleaning, landscaping, and security.
Assist in obtaining bids and managing service contracts.
Capital Projects
Oversee preparation and ongoing administration of capital project documentation, contracts, and related functions.
Compliance & Reporting
Assist with ensuring properties comply with local regulations, safety standards, and company policies.
QUALIFICATIONS
3-5 years of property management experience with administration and financial management responsibilities.
License to trade in Property Management not required but considered an asset.
Property Management designation (RPA, FMA) considered an asset.
Valid drivers license and reliable vehicle.
