About the Role:
Reporting to the Manager of Provider Services Operation, the Assistant Manager, Provider Services, will be a highly organized and motivated leader to oversee a team of 11+ wait list clerks. The successful candidate will be responsible for managing day-to-day operations, ensuring service delivery standards are consistently met, and supporting staff development through coaching, training, and mentorship. This role requires a strong balance of operational oversight, people management, and process improvement, while also supporting leadership with strategic and administrative initiatives
Key Responsibilities:
Lead and manage a team of 11+ wait list clerks, ensuring effective coordination of daily operations.
Provide coaching, guidance, and regular performance feedback to help staff achieve individual and team goals.
Monitor and enforce compliance with business Service Level Agreements (SLAs), organizational policies, and training standards.
Identify and implement process improvements to enhance efficiency, accuracy, and service quality.
Act as the primary point of escalation for operational challenges, supporting timely resolution.
Support IT teams by providing frontline feedback on systems and workflows to guide iterative improvements.
Foster a positive, collaborative, and accountable work environment.
Prepare and present reports on performance metrics, workload management, and SLA adherence.
Experience & Qualifications:
Strong coaching and mentoring skills with proven ability to support team growth and goal achievement.
Demonstrated ability to manage operational priorities while meeting business SLAs and service standards.
Excellent communication, interpersonal, and conflict resolution skills, including experience with stakeholder engagement.
Proficiency in MS Office Suite and familiarity with scheduling or wait list management systems.
Strong problem-solving skills with a focus on efficiency, accuracy, and continuous improvement.
Ability to foster a collaborative, high-performance team culture.
Experience working with IT teams to provide user feedback and support system enhancements is an asset.
Strong organizational skills and the ability to support senior leadership through delegated assistant duties
The knowledge and skills required for this position would be attained through the completion of a post-secondary education in business administration, healthcare management, or a related field (equivalent experience may be considered). supplemented by at least 2 - 3 years of supervisory or team leadership experience, preferably in healthcare administration or a similar environment experience. An equivalent combination of education and experience may be considered.
