Summary





The Assistant Leasing Administrator is the first point of contact with our tenants regarding the renewal process and must provide a friendly and personable experience over the phone and through email or text. The incumbent is responsible for supporting the administrative needs of the department relating to the preparation, issuance and tracking of all renewals. The Assistant Leasing Administrator is responsible for accuracy in all areas of the renewal process, from tracking logs, renewal expiry dates, responses and conversion rates, and is a key player to the team's overall success in meeting departmental requirements and targets.


Key Responsibilities




Assist in preparing, issuing, and tracking all renewal offers, ensuring timelines comply with Residential Tenancies Branch (RTB) regulations. Monitor responses and follow up with residents who have not yet confirmed their decision. Negotiate renewal terms (within established guidelines) and escalate exceptions to management. Process renewal approvals, freezes, and adjustments accurately in CRM system Serve as the first point of contact for residents with renewal-related inquiries. Maintain accurate renewal tracking logs, including upcoming lease expiration, responses, and conversion rates. Support reporting on renewal performance vs. re-rental outcomes. Ensure all renewal notices, agreements, and supporting documents are accurate Maintain organized digital records of renewal correspondence and signed agreements.

Qualifications & Experience




Formal education or equivalent and relevant experience required. Minimum 2 years of administrative experience required. Must have a valid Class 5 Driver's License and access to a reliable vehicle. Must be proficient in Microsoft Office Suite (Excel, Outlook, Word, Teams, etc.). Highly organized and able to effectively prioritize tasks and schedule accordingly. Strong interpersonal and communication skills are required. Detail oriented with high accuracy in working with documents, reports, and data entry. * Ability to manage conflicting priorities and workloads in a fast-paced work environment.
