THE ROLE
We are currently seeking a full-time, permanent
Assistant Front Office Manager
at Banff Park Lodge. Join a welcoming, motivated team dedicated to creating memorable guest experiences. With our newly renovated rooms and ongoing upgrades to our public spaces, this role offers the opportunity to apply your coordination and organizational strengths in a dynamic environment. You'll support the Front Office Manager in guiding day-to-day operations, fostering cross-department collaboration, and helping maintain the smooth flow of our guest experience during an exciting period of growth.
This role requires flexibility in working shifts to ensure business staffing needs are met. The salary will be negotiated based on experience, for 40 hours per week. This position is available immediately.
Duties include (but are not limited to):
Assist Front Office Manager with overseeing the day-to-day operation of the Front Office with a strong focus on maintaining a high level of guest services, room sales, and profitability.
Maintain up-to-date training manuals, shift checklists, and support consistent implementation of hotel policies, standards, and SOP compliance.
Participate in the recruitment and onboarding of new team member for Front Office roles: interviews, and probation reviews for Front Office roles
Identify training gaps and collaborate with the Front Office Manager to improve methods, processes, and team development strategies.
Assist Front Office Manager and Guest Services Supervisors with handling of guest comments and concerns, ensuring all guest needs are met. Support in handling guest concerns and service recovery in a prompt, professional manner.
Provide on-shift leadership to Front Desk and Bell Desk, supporting the coaching, development, and performance management of Front Office Staff.
Participate in Front Office and hotel meetings and assist in sharing important updates and priorities with the team; represent the Front Office Manager when required.
Assist with efficient scheduling of Front Office staff, entering schedules in the payroll system, and approving timecards in the FOM's absence.
Support an inclusive, professional, and team-oriented culture through coaching, recognition, and team-building activities.
Ensure workplace safety and security of all individuals on property by maintaining current knowledge of emergency procedures and acting as the on-scene lead during incidents/crisis.
Maintain clear communication and cooperation with Housekeeping, Reservations, Maintenance, and other departments across the Banff Park Lodge hotel collective.
Work a combination of morning, evening, weekend, and holiday shifts as required.
Contribute to maximizing room sold and revenues by training and coaching the team on upsell strategies and capturing walk-in opportunities.
Assist with billing and reconciliation of guest ledger and city ledger accounts.
Ensure efficient and accurate use of Oracle PMS and other operational tools, including Revinate, TripTease, IDeaS, and related systems.
Ideal Candidate:
Minimum 1-2 years of hotel front desk or reservations experience required.
Previous supervisory experience is required; previous management experience is an asset.
Strong multi-tasking ability with keen attention to detail.
Professional and friendly demeanor both in person and over the phone.
Excellent English communication and comprehension; a second language is an asset.
Proficiency with Microsoft Office and strong computer literacy.
Ability to work independently, make sound decisions, and lead by example.
