As a Assistant Condominium Property Manager, you will be reporting to the Property Manager and will work together as a team responsible for Chaz Yorkville Condominium; a luxury 47 story condominium hi-rise consisting of 526 units located at the vibrant Yonge and Bloor in Toronto.
The ideal candidate will be organized, detail-oriented, and possess excellent administrative skills. This position offers the opportunity to work in a dynamic environment where you can utilize your expertise in various administrative tasks.
Duties and Responsibilities:
The responsibilities for the Condominium Administrator include, but are not limited to the following:
- Promptly responding to Unit owners and tenants
- Process payables
- Maintain electronic documents in an organized fashion
- Assist with service calls and trades
- Draft and send out regular notices to the residents
- Registration of new owners/residents / tenants and keep current Condo Control database up-to-date. Note, there is high turnover of tenants. with 526 units.
- Attend regular board meetings and resident events alongside the Senior Property Manager and General Manager.
- Arrange amenity bookings
- Aid and assist in all areas of financial reporting, quotations, in the collection of receivables and
- Assist with running a smooth non-conflictual office, keeping in mind at all times that we are there to provide an exceptional high level of service to building owners/residents.

QUALIFICATIONS AND REQUIREMENTS:
- Team player with exceptional interpersonal, written, and oral communication skills.
- Organized, compassionate, conflict resolution with strong time management skills.
- Ability to work independently from Property Manager and Head Office Senior Management and are able to operate with a minimum level of supervision.
- Ability to keep complete and correct documentation of calls, emails, board meetings, letters, etc.
- Ability to return phone calls and emails with an exceptional level of resolution.
- Timeliness and follow-through on special projects.
- Fluent (written and spoken) in English a must, other languages are an asset.
- Strong command Word, Excel and other such as Condo Control.
- Able to maintain confidentiality, with a professional business manner.
- Completed CMRAO courses, and condominium experience a plus but not mandatory.

Staying on top of payables, deposits, registrations, arranging escort guards for party room are likely the most important
Or, knowing how to draw information from various resources available to help create a fuller picture of a situation or of the building at any given time
Ability to take direction when superior asks you to do something differently, or when they point out an error/mistake
Take/save notes on these types of things are extremely helpful so that you will have something to refer back to rather than coming to the Senior Property Manager over and over again for the same thing
Communication skills - with everyone (managers, on-site staff such as concierge, superintendent, cleaners, etc., and owners/residents
Ability to write coherent notices via Condo Control
Ability to respond professionally in emails (templates help greatly with this and can be tweaked as needed situation-to-situation)
Being consistent with your answers to residents (not permitting residents to pressure you into providing them something you normally would not provide to anyone else)
Addressing rude/inappropriate behaviour from owners/residents
in writing
No need to be confrontational or defensive, but use the tools available to protect yourself and staff the situation calls for it (i.e., workplace harassment policy, etc.)
Being able to pivot or adjust plans on a whim
Arrange for last minute entries for trades, if needed
Take action/assist as needed during emergencies (i.e., floods, etc.)
Adjusting to accommodate last minute requests from Property Manager or General Manager (this will be easier if someone is naturally organized and keeps good notes, spreadsheets, etc.)
For example, when the Auditor asked for names and unit numbers associated with Move-In Fees, an excel sheet is set up to record those things and can easily be sent over within minutes, if needed.
