Job Overview


We are seeking a motivated and detail-oriented Full-Time Administrative Assistant to support our clients busy insurance brokerage. The ideal candidate will bring strong organizational skills, accuracy in data entry, and a customer-focused mindset. This role is essential in ensuring smooth daily operations, maintaining client communication, and assisting insurance agents with both administrative and service-related tasks.

Key Responsibilities



Administrative Support:

Provide day-to-day office support, including handling phone calls, emails, and correspondence.

Client Interaction:

Greet clients, manage appointments, and respond to inquiries about insurance policies and services.

Data Entry & Documentation:

Accurately input client and policy information into systems; prepare, organize, and maintain records and insurance documents.

Billing & Payments:

Assist with processing billing, payments, and claims submissions with accuracy and timeliness.

Reporting:

Generate regular reports, including claims status updates, client activity, and other operational metrics.

Communication:

Act as a liaison between clients and insurance agents to ensure requests and concerns are addressed quickly and professionally.

Office Organization:

Manage supplies, maintain inventory, and ensure the office remains organized and efficient.

Qualifications



High school diploma required; a degree in administration, business, or related field preferred. Previous experience as an administrative assistant or in a similar role (insurance or financial services industry experience is an asset). Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Knowledge of QuickBooks or similar accounting software is an advantage. Excellent verbal and written communication skills in both French and English. Strong organizational skills with the ability to manage multiple priorities. High attention to detail with proven accuracy in data entry and administration. Professional, proactive, and able to maintain confidentiality.
