Assistant Accounting And Office Manager
Location: Vaughan, ON
Salary: $80,000 - $90,000
Hours: 8:30am - 4:30pm
Benefits: After 3 months: Medical/Dental, Vision, 3 sick days.
Vacation: 2 weeks
HYBRID (2 days in office) must be flexible - 100% in office for training
We are seeking a highly organized and detail-oriented Assistant Accounting and Administrative Manager. This hybrid role requires a professional with strong accounting expertise and the ability to manage daily office operations efficiently. The ideal candidate will play a key role in financial management, administrative support, and ensuring smooth business operations. This role reports into the Accounting Manager.
Key Responsibilities:

  • Responsible to support full cycle accounting; journal entries, AR, AP Fixed assets, trial balance, and financials
  • Prepare month end reports, which can include, sales reports, profit and loss statements, balance sheets, and other misc.
  • Manage invoicing, expense tracking, and vendor payments.
  • Experience with EFT, cheques, deposits, fixed assets, and bank recs.
  • Familiar with all federal and provincial taxes and tax reporting
  • Act as a backup to the accounting manager as required
  • Responsible for checking and posting daily vendor invoices, sales and purchase orders
  • Ad hoc reporting
  • Liaise with external accountants, auditors, and financial advisors as needed.
  • Assist accounting manager with monthly, quarterly and annual closings
  • Oversee daily office operations, ensuring a productive and organized work environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Assisting with employee management and employee relations
  • Will be required to assist all departments; this could include:
o AP/AR Depts.: Keep team on track with posting; ensure proper GL coding, review credits and help with vendor and customer analysis; upload EFT files to bank
o Inventory: Liaison with inventory team in regards to inactive inventory, disposals and warehouse reconciliations.
o Customer Service: Assist CSR's with issues that arise and ensure orders are processed within the allotted weekly deadlines
  • Work with salespeople to prepare the sales forecast to ensure adequate inventory is ordered.
  • Maintain and distribute WSIB and insurance certificates
Qualifications & Skills:
  • Post Secondary Education in Accounting, Finance, Business Administration, or relevant work experience.
  • Minimum of [5] years of experience in accounting and 2 years of management experience.
  • Proficiency Microsoft Office Suite (Excel, Word, Outlook).
  • Strong understanding of accounting principles, and financial reporting.
  • Excellent organizational and time-management skills with the ability to multitask.
  • Strong attention to detail and accuracy in financial recordkeeping.
  • Effective communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Asset: Experience/Knowledge of Microsoft NAV or Microsoft Business Central
