As a member of the Finance team,
the Accounts Receivable Representative
will support the full cycle of accounts receivable, including preparing invoices for operations in Canada and the U.S., reconciling accounts, monitoring collections, and assisting with month-end processes. Working closely with our Senior AR Specialist and other Finance team members, you'll play an important role in maintaining accurate and timely billing, supporting customer relationships, and contributing to process improvements as we continue to scale.
The successful candidate will have foundational knowledge of billing and accounting procedures, strong Excel and data management skills, and a keen eye for detail. The ideal candidate is organized, proactive, and eager to learn - someone who enjoys solving problems, building relationships, and growing their career in a fast-paced, collaborative environment.
This is a hybrid role and requires you to work from our Downtown Office 3x per week.
Job Responsibilities:
Process and issue accurate invoices through the billing system (NetSuite), ensuring data integrity and alignment with customer contracts.
Monitor aging reports, follow up on outstanding balances, and document collection activities.
Investigate and resolve billing discrepancies through account reconciliations and collaboration with internal teams (Operations, Account Management, and Finance).
Build and maintain strong relationships with customers, providing timely and professional responses to inquiries.
Proactively monitor and follow-up on collections each week, including contacting customers to negotiate payment of outstanding accounts
Maintain updated files and invoice procedures per customer and record activities in the accounting system
Prepare regular AR and aging reports, highlighting risks or payment trends.
Submit delinquent accounts to a collections agency as required.
Actively participate in continuous improvement initiatives by constantly reviewing current processes to identify opportunities to improve efficiency and effectiveness
Qualifications:
1-2 years of experience in Accounts Receivable or general accounting
Post-secondary education in Accounting, Finance, or Business.
Experience with NetSuite or similar ERP systems is a strong an asset
Proficient in MS Excel (VLOOKUPs, pivot tables, analyzing large/unstructured data sets).
Strong customer service, communication, critical thinking, and analytical problem-solving skills
Detail-oriented with strong organizational skills to prioritize in a fast-paced growth environment
Collaborative and excellent team player with demonstrated ability to work within a team
Comfortable leveraging technology to simplify internal processes and minimize manual work.
