On behalf of our client, a Crown corporation operating within the transportation sector, we are currently looking for a diligent and dedicated AP Administrator/Executive Assistant to join their cohesive team! Location: Vancouver, BC

Responsibilities:

  • Support with all Accounts Payable functions
  • Organize all accounts payable documents (i.e., payment records and invoices)
  • Input invoice and document data into company's accounting software
  • Assist with expense report preparation for reimbursements to respective parties
  • Monitor approved invoices and handle any related issues
  • Track invoices and process payments in a timely manner
  • Support accounting team with ad-hoc duties and special projects
  • Handle administrative duties at reception, including greeting office guests and attending to incoming calls
  • Manage general administrative needs to support the Executive and Management team
  • Schedule and manage internal and external meetings
  • Order supplies and equipment for the office and maintain the cleanliness of general office areas and meeting rooms
  • Input updates to internal database and websites to ensure accuracy of information
  • Coordinate logistics and fulfillment for internal and external events
  • Provide assistance with additional administrative tasks/projects, as required
Requirements:
  • Degree or Diploma in Accounting, Business Administration, or related field
  • Minimum 2 years of experience working in accounts payable and office administration
  • Experience with accounting software (Sage 300) and exposure to high-volume data entry/processing is considered an asset
  • Strong proficiency with MS Office Suite
  • Excellent verbal and written communication skills
  • Possess a meticulous eye for detail and accuracy, with the ability to prioritize and multi-task with competing deadlines
  • Be highly organized, proactive, and process-oriented
  • Able to work efficiently with minimal supervision, and in collaboration with a team
  • Professional presentation with the ability to liaise with various internal and external parties
