Description
L'Analyste de conformite est un membre de l'equipe qui jouera un role cle dans la gestion, le suivi et l'application des processus internes lies a la conformite, a la confidentialite et aux obligations reglementaires du cabinet. Le ou la titulaire du poste collaborera etroitement avec les equipes juridiques, les services administratifs et la direction afin d'assurer la conformite aux regles professionnelles, encadrer les pratiques internes et contribuer a l'amelioration continue des politiques et procedures.
Responsabilites principales
Elaborer, mettre a jour et faire le suivi des procedures internes et des politiques en matiere de conformite.
Reviser les ouvertures de dossiers, les verifications de conflits d'interets et d'identite a l'aide de listes de controle standardisees.
Communiquer avec diplomatie les elements manquants aux equipes concernees et assurer la formation sur les bonnes pratiques a respecter.
Suivre les exigences deontologiques et reglementaires des differents barreaux, effectuer les recherches necessaires et soumettre les questions au besoin.
Mettre en place les ecrans deontologiques et les acces restreints requis selon les situations.
Superviser l'ensemble du cycle de vie des dossiers : archivage physique, destruction securisee, fermetures conformes, et formation du personnel.
Coordonner les transferts de dossiers entrants, sortants ou internes entre avocats.
Rediger et maintenir a jour les documents types necessaires : formulaires d'ouverture de dossier, consentements de transfert, lettres de mandat, formulaires de verification d'identite, communications internes ou externes, etc.
Effectuer des audits internes afin de valider, controler et evaluer les risques.
Competences cles
Minimum de 4 a 5 ans d'experience dans un poste lie a la conformite, aux operations juridiques, ou a la gestion documentaire, idealement dans un cabinet d'avocats ou un environnement professionnel reglemente.
Maitrise des outils informatiques, tels que Microsoft 365, OneDrive et des logiciels juridiques comme Maitre et iManage (un atout).
Excellente communication orale et redactionnelle en francais et en anglais, afin de repondre efficacement aux besoins de la clientele.
Experience en formation du personnel ou en communication de directives internes (fort atout).
Solides competences en redaction, synthese et verification des processus.
Rigueur et habilite a etablir de bon rapport tout en faisant respecter les regles.
Esprit d'analyse, rigueur, minutie et aptitude a collaborer efficacement en equipe.

The Compliance Analyst is a team member who will play a key role in managing, monitoring, and enforcing internal processes related to the firm's compliance, confidentiality, and regulatory obligations. The incumbent will work closely with the legal teams, administrative services, and management to ensure compliance with professional rules, oversee internal practices, and contribute to the continuous improvement of policies and procedures.
Key Responsibilities
Develop, update, and monitor internal compliance procedures and policies.
Review case openings, conflict of interest and identity checks using standardized checklists.
Diplomatically communicate missing information to the relevant teams and provide training on best practices.
Monitor ethical and regulatory requirements of various bar associations, conduct necessary research, and submit questions as needed.
Implement ethical screens and restricted access as required.
Oversee the entire file lifecycle: physical archiving, secure destruction, compliant closures, and staff training.
Coordinate the transfer of incoming, outgoing, or internal files between lawyers.
Draft and maintain the necessary standard documents: file opening forms, transfer consents, engagement letters, identity verification forms, internal or external communications, etc.
Conduct internal audits to validate, control, and assess risks.
Desired Profil
3 to 5 years of experience in a role related to compliance, legal operations, or document management, ideally in a law firm or regulated professional environment.
Proficient in Microsoft 365, OneDrive, and legal software such as Maitre and iManage (an asset).
Excellent oral and written communication skills in French and English to effectively respond to client needs.
Experience in staff training or communicating internal guidelines (strong asset).
Strong writing, summarizing, and process verification skills.
Rigorous and able to build good relationships while enforcing rules.
Analytical mind, thoroughness, attention to detail, and ability to collaborate effectively in a team.
