The Affordable Housing Program Administrative Coordinator will provide administrative assistance and applicant support for Provincial, Federal and County Housing Programs delivered by Grey County. The Coordinator will be responsible for providing information to applicants and members of the public, promoting programming, responding to inquiries, reviewing, assessing, and processing eligible applications, including requests for payment. In addition, this position will draft housing practices, guidelines and policies for approval and implementation.

Responsibilities

Provide administrative support for Housing programs delivered by Grey County Housing Respond to enquiries regarding eligibility criteria for housing programs delivered by Grey County. Work with Communications to promote programs and ensure public awareness, including assistance eligibility Assist with application completion by gathering of information and assessing against eligibility requirements. Ensure accurate record keeping for program applications and prepare requests for payment of financial benefits to vendors and clients as determined by the program guidelines Input and update Provincial application databases. Coordinate and provide letters of program approval to tenants, landlords, OW and ODSP workers and homeowners. Follow-up with landlords, applicants, and homeowners to obtain outstanding program requirements. Data collection and distribution of Housing Program statistics Provide front-office counter coverage. Including assisting with in-person and phone call inquiries regarding Grey County Housing and forwarding requests to appropriate staff. Perform other duties as assigned.

Working Conditions

Usual hours of work are 35 hours per week; core hours are 8:30AM to 4:30 PM. Some overtime is required to cope with deadlines, peak periods, attend meetings and unexpected situations that arise within the services provided. Discretion, tact, and diplomacy required in assessing applicants.

Contacts

Internal Working Relationships

Receives direction and guidance from the Housing Programs Manager. Maintains contact with other County housing staff, Waitlist Coordinator and Ontario Works Managers regarding departmental issues.

External Working Relationships

There is regular contact with community groups and social agencies. There will be some contact with law offices, banks, and real estate agencies for the Homeownership Program. Regular contact will be maintained with applicants, landlords and providers under the Investment in Affordable Housing Program.

Knowledge and Skill

College level education in social services or business administration, or an equivalent level of work experience in public service or social services area. Knowledge of social housing legislations, policies, and principles, combined with understanding of Housing Department policies. Excellent interviewing, interpersonal and analytical skills to administer the housing programs and recommend approval of applications. Attention to detail when issuing financial benefits to vendors or clients through provincial Social Assistance Management Software. Computer skills to prepare documents, work practices and policies and to input, track and update applications for programs.

Impact of Error

Failure to promote and administer housing programs would result in the inability to maximize allocated funds. Failure to process subsidy payments in a timely manner could result in legal problems regarding the rental & supportive program, the loss of landlords willing to participate in the allowance program and to meet deadlines for the sale of property to the successful proponents under the homeownership program.
