Advancement Assistant, St. Thomas More CollegeSt. Thomas More College (STM), the Catholic liberal arts college federated with the University of Saskatchewan (Usask) is seeking a permanent full-time Advancement Assistant. Reporting to the Director of Advancement, the Advancement Assistant plays a key role in supporting the efforts of the Director of Advancement by managing and maintaining data related to donors, alumni, and other stakeholders. This position is responsible for ensuring data integrity, generating reports, assisting with fundraising campaigns, and providing excellent customer service to alumni and donors. The ideal candidate will be highly organized, detail-oriented, and capable of working collaboratively within a fast-paced environment.Key Responsibilities:Data Management & Reporting:

  • Maintain and update the alumni and donor database (CRM system), ensuring accurate and up-to-date records for all constituents.
  • Conduct regular data cleaning to ensure data integrity and accuracy.
  • Assist in generating regular reports on donor contributions, engagement metrics, event participation, and other development-related data.
  • Support the Director of Advancement in preparing data for fundraising campaigns, appeals, and communications.
  • Provide data-driven insights and recommendations to optimize advancement strategies.
Alumni Engagement:
  • Assist with outreach to alumni, including updating contact information, managing event invitations, and providing support for alumni-driven initiatives.
  • Track alumni engagement, event attendance, and participation in various programs and activities.
  • Help to coordinate alumni events and reunions, ensuring data related to attendees is accurately recorded.
  • Respond to general alumni inquiries and support alumni services as needed.
Fundraising Support:
  • Assist with managing donor pipelines, including tracking gifts, pledges, and donor cultivation activities.
  • Provide administrative support to the Director of Advancement in planning and executing fundraising events and campaigns.
  • Process donations, including gift acknowledgement, and reports.
Administrative Support:
  • Support the Director of Advancement with general administrative tasks such as scheduling meetings, preparing materials, and managing communication.
  • Assist with maintaining documentation and filing systems for advancement-related records and correspondence.
  • Collaborate with internal teams to ensure that alumni and donor communications are accurate and timely.
Additional Duties:
  • Stay informed about best practices in alumni relations, fundraising, and data management to ensure the department is leveraging new technologies and methods.
  • Participate in special projects and other duties as assigned.
Education:
  • Bachelor's degree in a related field (e.g., communications, business, nonprofit management) or a combination of education and equivalent experience.
  • 2-3 years' experience in database management, data entry, or development support is required.
  • Familiarity with Raiser's Edge donor management and alumni relations software is preferred.
  • Strong understanding of data privacy and security practices in handling sensitive donor and alumni information is preferred.
Skills and Abilities:
  • Excellent organizational skills with a keen attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint, and OneDrive) and data management software.
  • Ability to communicate effectively with a wide variety of constituents, including alumni, donors, and internal staff and faculty.
  • Customer service-oriented with a professional and approachable demeanor.
  • Ability to work independently and collaboratively in a team environment.
  • Strong written and verbal communication skills.
Working Conditions:
  • This is a full-time position with occasional evening or weekend work required, particularly around fundraising events or alumni engagement activities.
