Job Description


The Faculty of Business (FoB) is seeking an individual to provide a wide variety of academic support for its\' programs and students. The position holder will work closely with the FoB\'s Dean, Heads of Programs, faculty, and students to help ensure quality academic programs and a positive student experience.

RESPONSIBILITIES:

Academic & Student Success Support - Undergraduate Programs:

Working with the Head of Undergraduate Programs to provide front-line academic support to FoB students by advising students in areas such as:

  • Respond and meet with students regarding program, degree, and specialization requirements
  • Reviewing & advising students on co-op academic plans and submitting to head of undergrad programs for signature
  • Ensuring academic regulation requirements are met
  • Referring students to other supports available within the institution
  • Make recommendations to the program head regarding program needs
  • Maintain records of academic regulations, academics dishonesty and student appeals
  • Monitor and respond to generic email account for FoB Advising
  • Liaise with Registrar\'s office and other units on matters pertaining to courses, programs, or inquiries from students, including but not limited to transfer credits, Letter of Permission, etc.)
  • Liaise with the UPEI Students Advising team and International office
Working with Case Competition Coach and team:
  • Provide support to Case Competition coach, including booking travel, registering for competitions, monitoring when deposits and final payments are due and assisting with processing payments
  • Prepare travel claims and ensure all regulations are followed
  • Provide support and feedback to the team on the proper travel and reimbursement procedures
  • Monitor case competition budget
Academic & Student Success Support - Graduate Programs:

This position involves some contact with current and potential students in the graduate programs.
  • Coordinate the Graduate application process and tracking system, including receiving applications from Registrar\'s office, distributing applications to the Admissions Committees, tracking applications, issuing admission memos and correspondence to students
  • Coordinating with Faculty of Graduate Students as needed
  • Book candidate interviews for the Graduate Programs
  • Conduct research on MBA related information
  • Coordinates the contracts for external facilitators required for orientation and other professional development offerings
  • Prepare fee for service contracts following procedures as outlined at myUPEI.ca
  • Maintain records of academic regulations, academics dishonesty and student appeals
  • Monitor and respond to generic email accounts for MBA programs
  • Liaise with Registrar\'s office and other units on matters pertaining to courses, programs, or inquiries from students, including but not limited to transfer credits, Letter of Permission, etc.)
  • Liaise with the UPEI Students Advising team and International office
Student Success & Engagement:

This position is responsible for providing oversight and strategy for social media accounts and supporting the Faculty of Business in the promotion of programs and initiatives.
  • Assist with the development and upkeep of promotional materials
  • Supervisor Social Media Student Assistant and coordinate creation of content for social media
  • Liaise with Marketing Communications department
  • Promote opportunities, programs, and awards to students
  • Organize student, alumni, and guest speaker events
  • Promote alumni engagement
  • Assist with the planning, coordination and promotion of FoB events such as orientations, career fairs, NSO, open house, luncheons, receptions and other events
  • Coordinate recruitment activities
  • Assist with new student-centered initiatives
QUALIFICATIONS:
  • A bachelor\'s degree from a recognized post-secondary program in a related area is required. Previous and relevant work experience in a university environment is considered an asset
  • Experience and use of computers with various software programs such as Windows, Microsoft Word, Excel, Mail Chimp and internet. Familiarity with the following UPEI specific programs would be an asset: myUPEI, Colleague, 25 Live
  • The successful candidate must be able to work independently and take initiative where appropriate. They must possess excellent communication skills (both written and oral) and be able to function as an effective team member in a busy academic department. Other traits to be considered include strong interpersonal skills, good judgment and decision-making skills, and adaptability and flexibility in a variety of situations
  • Familiarity with University regulations and policies will be considered an asset
