Job Summary
The Faculty of Medicine inspires and enables excellence in health care through its medical education and research programs, and by serving and engaging society. Reporting to the Admissions Administrator, this position is responsible for the day-to-day support and administrative support for three priority community admissions pathways, with a particular focus on the Rural Admissions Sub-Committee.
Key Responsibilities
Assist with admission inquiries for the Rural Applicant Pathway, as well as priority pathways including Indigenous Admissions Pathway and Black Learner Admissions Pathway. This includes attending to phone, email and in person visitors. Provide clarification on application requirements and process to prospective applicants.
Verify applicant admissions files, including grades, MCAT scores, references, etc.
Provide support to the Rural Admissions Sub-Committee, which includes scheduling meetings, booking rooms, attending meetings, prepare and distribute meeting minutes, etc.
Coordinate the annual submission process of student immunization records as well as Criminal Records/Vulnerable records checks for all student learners.
Responsible for the efficient coordination and administration of the Scholarships & Awards process for the four years of undergraduate medicine.
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Due to operational requirements, the successful applicant will be required to work occasional evenings or weekends, as required. Working hours can be adjust as needed.
Required Qualifications
Business/Office Administration program with approximately five years' related work experience (or equivalent combination of training and experience).
Proficiency in MS Office (Word, Excel, Outlook).
Excellent communication, interpersonal and organizational skills are essential.
Ability to work independently with close attention to detail and ability to establish priorities to meet conflicting deadlines.
Cultural competency skills and awareness and attentiveness to principles of equity, diversity, inclusion, and accessibility.
Assets
Experience in a university environment.
Experience with related systems (Medix and Slate).
