Job Summary:

Under the direction of the Manager, Admissions, the incumbent will adjudicate applications to undergraduate and professional programs at the university in accordance with institutional admissions policies and enrolment objectives. This includes interpreting admissions criteria, evaluating domestic and international transcripts, and reviewing supporting documentation in order to make fair and consistent decisions in a timely manner. The Admissions Officer is also responsible for conducting transfer credit evaluations for students who have completed courses at other postsecondary institutions, in consultation with the university's academic units.

Responsibilities/accountabilities:



1.

Application Adjudication:



Evaluates applications for admission to the university from all undergraduate, graduate and professional applicant groups including: Ontario secondary school applicants and graduates, out-of-province applicants, international applicants, mature applicants, transfer applicants, teacher education applicants, graduate applicants, college-to-university transfer applicants, non-degree track applicants, and former Ontario Tech University students Works with faculties to ensure timely evaluation of transfer credits, and make the necessary updates to the student record in the student information system (Banner) and other internal databases Considers submissions under the university's special considerations policies and recommends a course of action to the Senior Admissions Officer Has the shared responsibility to evaluate the effectiveness of admissions processes and identifies possible problems/concerns Provides solutions to complex admissions related cases and understands when escalation is necessary Ensures enrolment of high-quality students and meet enrolment targets Prepares reports related to admission specific issues and trends

2. Internal and External Communication:



Ensures applicants have fulfilled the conditions of their offer and provides advice to those who may be at risk of losing their offer of admission Provides admissions related advice to prospective students, applicants, and other stakeholders using a variety of mediums (i.e. online meetings, phone calls and email) Communicates and builds relationships with internal stakeholders (i.e.: academic advisors, other divisions within the Registrar's office, faculty representatives, the school of graduate and Postdoctoral studies, and other services/departments) Participation in some recruitment events including the Ontario Universities' Fair (OUF) and Open Houses as the university's admissions expert

3. Maintenance of Systems and Processes:



Implements, reviews and maintains Banner processes (BDMS, letter generation, OUAC downloads, automatic emails) and ensures they achieve desired outcomes for admissions Participates in the annual audit of undergraduate admissions and transfer credit's web presence in conjunction with the Office of the Registrar's communications team and makes ad hoc updates as required

Supervision and workflow coordination:



Acts as a mentor and guide for junior employees Provides direction and advice to the division's Work Study students

Strong interpersonal and communication skills Demonstrated initiative and excellent judgement Maintaining confidentiality and integrity are essential Excellent computer skills in Microsoft Word, Excel, Access, and PowerPoint Superior organizational/multi-tasking and problem-solving skills Ability to adapt to changing priorities and projects Ability to work effectively and professionally with people at all levels both inside and outside of university. This includes secondary, non-secondary or non-traditional learners Ability to maintain a high level of professionalism and respect for students, staff and faculty

Required Education:



Completion of a 3 year undergraduate university degree is mandatory A combination of education and experience may be considered for this role Verification of Academic credentials may be required

Required Experience:



A minimum of three years of experience working in the field of post-secondary admissions, including a significant background in domestic and international document evaluation

Knowledge:



Requires in depth knowledge of provincial, national and international education systems Working knowledge of student information systems (Banner) and relational databases Understanding of Canadian and international post-secondary curricula and post-secondary document assessment including the principles and frameworks put forth by recognized bodies including: the Ontario Council on Articulation and Transfer (ONCAT), the Pan-Canadian Consortium on Admissions & Transfer (PCCAT), and the Canadian Information Centre for International Credentials (CICIC) Knowledge of the Freedom of Information and Protection of Privacy act (FIPPA) Knowledge of all university programs, student support services and success strategies
