Job Summary:

Ontario Tech is seeking a creative, energetic and experienced individual to join its undergraduate admissions team. This includes interpreting admissions criteria, evaluating domestic and international transcripts and reviewing supporting documentation in order to make fair and consistent decisions in a timely manner. The Admissions Officer is also responsible for assisting with transfer credit evaluations for students who have completed courses at other post-secondary institutions, in consultation with the university's academic units and consistently delivering superb service to applicants and students.

Nature of work:

Under the direction of the Manager, Admissions, the incumbent is responsible for overseeing an admission portfolio that assists in meeting institutional enrolment objectives

Responsibilities/accountabilities:

  • Contributes to the development, implementation and maintenance of university admissions initiatives to meet the enrolment objectives of all undergraduate and professional programs.
  • Manages a detailed admissions portfolio, working alongside senior members of the team to ensure continuity of process and policy.
  • Assesses post-secondary credentials for transfer credit and institutional mobility.
  • Works closely with the university student information system and other relational databases that manage student admission and transfer credit records.
  • Advises and counsels prospective and current students, parents, teachers, and guidance personnel about programs, courses, admission requirements and general aspects of university life.
  • Assists with recruitment activities such as the Ontario Universities Fair, open houses, welcome events, experience days, guidance events, etc.
  • Sets standards of service based on data and consultation with clients and documents work processes.
  • Responds to all internal and external inquiries in a timely and effective manner providing detailed and accurate information utilizing an array of mediums; phone, online video conference and email.
  • Remains current with trends and issues in admissions and enrolment management through professional development and other activities
  • Assists with processing electronic admissions documentation submitted through a variety of means including: the document upload tool located on the university's admissions website and the Ontario Universities' Application Centre.
  • Assists with triaging emails received via the centralized admissions inbox and assigning them to the appropriate Admissions Officer.
Required Skills:
  • Previous experience working in the field of post-secondary admissions is highly valued.
  • Understanding of Canadian and international secondary and post-secondary curricula.
  • Knowledge of the Freedom of Information and Protection of Privacy Act (FIPPA) and other university privacy protection policies and procedures.
  • Demonstrated ability to work collegially and contribute effectively to a team.
  • Must have a proven track record of innovation, creativity and excellent organization and problem solving skills.
  • Must be flexible to deal with a variety of clients; secondary and non-secondary or non-traditional learners.
  • Knowledge of all university programs, student support services and success strategies.
  • Demonstrated initiative and excellent judgement.
  • Maintaining confidentiality and integrity are essential.
  • Excellent computer skills including the Microsoft Office suite.
Required Education:
  • Completion of a Formal Post-Secondary/College Program of Two Academic Years
  • Completion of an undergraduate university degree is strongly preferred.
  • Verification of Academic credentials may be required
Required Experience:
  • 2 - 3 years' experience in a university administrative unit.
  • Experience using a student information system is an asset.
