Admissions Coordinator

Primary Purpose: To provide day to day leadership, coordination and administration in the organization and operation of the College of Dentistry\'s admissions processes.

Nature of Work: Reporting to the Interim Associate Dean Academic, this position leads and coordinates all aspects of the College\'s admission processes for all programs. This is a high volume position requiring the ability to multitask and work under pressure in a fast-paced environment to deal with competing deadlines. The incumbent works collaboratively with a variety of stakeholders including faculty, staff, current and prospective students, and external organizations. Some travel in North America may be required. Discretion and confidentiality is required in handling student information. The work requires innovative problem solving, sound judgment in decision making, and an ability to manage stressful and sensitive situations with a strong commitment to creating an exceptional student experience.

Typical Duties or Accountabilities:

  • Supervise clerical assistant on duties related to admission processes for all programs.
  • Evaluates domestic and international secondary and post-secondary transcripts and grades to determine eligibility for programs admission.
  • Evaluates credentials according to national and international best practices and in accordance with College admission policies.
  • Collaborates with admissions officers in the Admissions and Transfer Credit Office and other colleges to ensure consistency with national transcript and credential evaluation best practices, policies and procedures.
  • Develops and maintains processes and tools to aid in evaluation of transcript and credential as well as admission processes.
  • Evaluates English proficiency according to established university policy and procedures.
  • Conducts grade conversions and calculates admission averages for international and domestic student applicants.
  • Evaluates qualifications, credentials and transfer credit and determines course equivalencies for applicants with Canadian and international credentials.
  • Manages student applications through RMS Recruit and/or ADEA AADSAS including processing and verification of supporting documentation and notification of application decisions.
  • Provides accurate direction and advice for applicants to the programs including course counseling to prospective and unsuccessful applicants.
  • coordinate admission interviews including scheduling of applicants, preparation of required materials and coordination of interview sites.
  • Assists with orientation of new students by preparing and disseminating program information, preparing orientation packages and collecting and tracking required documentation from students.
  • Assists with student recruitment activities on campus, across the city and within the province.
  • Develops and implements admission policies and processes for new programs.
  • Coordinates admissions committee meetings for all programs.
  • Acts as an important resource for faculty and senior administrators by preparing accurate analyses and statistical reports relating to admissions.
  • Ensures College admissions and recruiting documentation and website information is current.
  • Coordinates and administers the Canadian Dental Association Dental Aptitude Test (DAT) to prospective students as part of the admissions process
  • Other duties as assigned by the Associate Dean Academic
Education: A high school diploma is required. A combination of education and direct experience is an asset.

Experience: A minimum of two years of directly-related experience in a post-secondary educational institution. An understanding of university admission and transfer credit requirements, policies, and procedures is required. Knowledge of College of Dentistry academic programs, recruitment initiatives and support services would be an asset. Experience with database software; proficient with the Banner Student Information System and CRM RECRUIT is required.

Skills: Demonstrated professional maturity, judgment and decisiveness; ability to take initiative and be self-directed; strong evidence of relationship building, ability to work collaboratively, with strong analytical, critical thinking, and communication skills; strong written, verbal, research, organizational and communication skills; proven aptitude to develop and evaluate administrative tools and procedures; knowledge of grading scales and course equivalencies for universities throughout North America, ability to make decisions and recommendations on course equivalencies, superior analytical skills and exceptional attention to detail; demonstrated efficient time management skills; proficiency with modern computer applications and programs including spreadsheets, databases, word processing, and ability to function independently level in a diverse organization.

Salary: The salary range, based on 1.0 FTE, is $66,030.00 - 103,174.00 per annum. The starting salary will be commensurate with education and experience.
