Reporting to the Associate Registrar, Admissions, the Admissions Advisor is responsible for the evaluation, assessment, and processing of applications for all academic programs, including graduate studies. This role serves as a key point of contact for prospective students and their families or support networks, providing accurate information and exceptional service regarding programs, admission requirements, and the application process. The Admissions Advisor collaborates closely with other team members and contributes to a range of functions within Student Enrolment Services.

Responsibilities:

Receive, review, and process applications for admission to all undergraduate and graduate programs. Assess high school transcripts for preliminary entrance scholarships and evaluate post-secondary transcripts for transfer credit eligibility. Evaluate the completeness of applications, assess academic transcripts, and calculate admission GPAs in accordance with institutional guidelines. Conduct timely and appropriate follow-ups with applicants to support application completion and encourage conversion. Provide accurate and professional advising to prospective students and their families regarding Concordia's academic programs, services, and admission requirements. Offer informed recommendations to applicants seeking admission to professional and graduate-level programs. Interpret international academic credentials, grades, and credits using recognized online tools to determine Canadian equivalencies. Maintain accurate and organized electronic student records, including scanning and indexing of documentation. Advise applicants who are not admitted on alternative pathways or options to meet admission requirements. Provide front-line support and customer service at the Student Enrolment Services front desk. Advise prospective and current applicants through various communication channels, including in-person, phone, email, and virtual meetings (e.g., Google Meet). Liaise with academic faculties regarding applications to competitive or limited-enrollment programs. Compile and prepare institutional statistics and reports for use by internal stakeholders across the university. Assist in training and mentoring new Admissions Advisors, ensuring consistency in processes and knowledge transfer. Verify study permit documentation and enter relevant information into the Student Information System (SIS).

Knowledge, skills and abilities:

Proficiency in Google Workspace (Gmail, Google Docs, Sheets, Slides, and Calendar), as well as Microsoft Office applications (Word, Excel, PowerPoint). Familiarity with educational technologies and student information systems, with the ability and willingness to learn new software tools as required. Accurate data entry and keyboarding skills with strong attention to detail. Excellent written and verbal communication skills, with the ability to convey information clearly and professionally. Strong analytical and problem-solving skills, including the ability to apply logical reasoning in troubleshooting and decision-making. Demonstrated ability to multitask and manage competing priorities in a fast-paced environment. Effective interpersonal skills and the ability to maintain positive working relationships with internal staff, faculty, casual employees, volunteers, and external stakeholders. Ability to prioritize tasks and manage time effectively to meet deadlines.

Educations and Qualifications:

Bachelor's degree is required. Minimum of two (2) years of experience in customer service or student-facing role is required. Ability to demonstrate effective cross-cultural, interpersonal, and customer service skills is required. Strong written and verbal communication abilities, including accurate record-keeping and professional telephone/email etiquette are required. Excellent organizational and time management skills, with the flexibility to adapt to changing priorities and responsibilities, are assets. Proven ability to exercise sound judgment within established guidelines and to remain focused in environments with frequent interruptions is an asset. Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Gmail), with the aptitude to learn additional software as required, is preferred. Knowledge of post-secondary education systems, admission requirements, institutional policies, and credential evaluation is considered an asset. Ability to successfully pass a clear criminal background check is required.
