Double V Trading Ltd. is a fast growing Food & Beverage Trading company in Richmond, we are currently seeking a proactive, organized and reliable talent to join our team.
The Role
As an Administrative Assistant for Double V Trading, you will be responsible for providing full administrative support to the team, coordinating the different matters with departments. The desired assistant must have strong communication skills to work with our clients, suppliers and internal team. Performance review will be conducted after 3 months' probation
Responsibilities
- Oversee and co-ordinate office administrative procedures.
- Handle general calls, emails, mails and customer enquiries.
- Maintain and reorder office supplies.
- Prepare monthly reports according to business needs.
- Co-ordinate shipment with services providers, including custom clearance and local hauling.
- Coordinate and arrange delivery schedule with sales department and warehouse.
- Coordinate with warehouse and driver on daily routine jobs.
- Prepare purchase order to suppliers.
- Prepare quotation to customers.
- Handle invoices and credit notes.
- Arrange casual labour schedule.
- Data input to Inflow System.
- Labeling and other warehouse administrative duties
- Organize and coordinate stock take with warehouse colleagues.
Requirements
- Completion of post-secondary education is required
- Proven 1 year administrative work experience.
- Proficient in Excel, Word, Excel, Adobe, etc.
- Good time management skills and ability to multi-task and prioritize work.
- Strong problem-solving, organization and planning skills.
- High attention to detail.
- Good communication skills
- Ability to speak Cantonese or Japanese will be an asset
- General knowledge in bookkeep or accounting will be an asset
