Adminstration Coodinator

Primary Purpose: This position is responsible for administrative support to the Administrative Office of the Veterinary Medical Clinic. The position requires above average discretion and sensitivity in decision making in the handling of confidential employee personal information and material. The position interacts with internal and external agents of the Veterinary Medical Clinic. The incumbent is expected to establish and maintain relationships both internally and externally that are collaborative and professional. The work is varied and requires a high level of attention to detail in a high-volume environment with interruptions. This position requires the ability to work independently as well as part of the team. Nature of Work: Reporting to the Chief Operating Officer of the Veterinary Medical Clinic, this position plays an integral role in the administration of the Clinic and the overall effectiveness of the Clinic. Problems encountered can be varied and complex, requiring analysis, research and planning to resolve. Impact of error is high as the position is responsible to ensure work is completed accurately, projects are completed in a timely manner and information provided to others is correct. Fast paced work environment is subject to rapidly shifting priorities and requires discretion and sound judgment in applying appropriate procedures and guidelines. This position performs a variety of duties to support the pension administration functions and is privy to sensitive confidential information such as contracts and legal agreements, event/safety reporting including critical incidents, Occupation Health & Safety Reports and investigations, Personal Health Information of employees and medical/work accommodations, client concerns, as well as practice and performance concerns of staff, students, and faculty. Accountabilities:
  • Prepare documents, reports and data for presentations intended for the Dean and Executive Committee of WCVM
  • Coordination and oversight of large-scale organizational projects
  • Contract and agreement management
  • Liaison with university legal team as required.
  • Attend meetings and take minutes, track to-do\xe2\x80\x99s and touchbase with COO and directors as required to ensure timely completion of tasks.
  • Efficient processing and reconciliation of the office\xe2\x80\x99s monthly funds.
  • Effective management and timely completion of assigned projects along with setting priorities and meeting deadlines.
  • Utilizes independent task management, re-evaluate task lists independently and reprioritizes requests from employees, university departments and external agents.
  • Develop, document, and streamline internal administrative processes and procedures to ensure efficient use of time.
  • Ensure best practices and compliance with applicable legislation, collective agreements, university policies and regulations.
Education and Experience: A recognized post-secondary office administration program or relevant undergraduate degree. A minimum of 2 - 4 years of experience with a high-level administrative role. A combination of education and experience may be considered. Skills:

  • A demonstrated knowledge of computer applications including Word, Excel, Outlook and PowerPoint.

Salary: The salary range, based on 1.0 FTE, is $50,780.00 - 79,344.00 per annum. The starting salary will be commensurate with education and experience.
