We are seeking a highly organized, detail-oriented Administrator to support day-to-day operations across Sales, Operations, and Marketing at Iris Dynamics. This role is integral to ensuring that key administrative processes are executed consistently and efficiently, helping to maintain data accuracy, streamline internal workflows, and support team coordination. The ideal candidate will thrive in a fast-paced environment, enjoy working collaboratively across departments, and bring strong attention to detail and organizational skills to the role.
Key Responsibilities:
Provide administrative support across Sales, Operations, and Marketing teams.
Maintain accurate records in internal systems such as HubSpot, Google Drive, and QuickBooks Online.
Assist with purchasing, invoice tracking, and vendor communication.
Coordinate company travel bookings and maintain supporting documentation.
Support logistics for internal and external events, including trade shows and webinars.
Manage contact lists, shared documents, and internal folders to keep team resources organized and up to date.
Maintain and update internal process documentation to support consistent and scalable workflows.
Prepare and distribute basic internal reports and assist with metrics tracking as requested.
Qualifications:
Candidates must be living in the Greater Victoria area and able to commute to the company office.
Completion of post-secondary education in Business Administration, Office Administration, Accounting, or a related field; or an equivalent combination of education and experience.
Demonstrated ability to learn new systems quickly and maintain accurate documentation.
Experience:
3+ years in an administrative, operations, or coordinator role.
Familiarity with HubSpot, QuickBooks Online preferred.
Proficiency with Excel and Google Sheets; comfortable working with pivot tables.
Work Hours:
Full-time, on-site at Iris Dynamics' Victoria, BC office.
Salary Range:
$50,000 - $60,000 per year, depending on experience.
