Job Description

Duties & Responsibilities:



Client Support and Scheduling



Book, confirm, and manage client appointments for Psychiatrists and NPs Contact clients to provide appointment reminders, reschedule sessions, or follow up as directed by providers Greet and direct clients, ensuring a welcoming, respectful, and confidential environment

Clinical Administrative Support



Fax prescriptions and other medical documents to pharmacies on behalf of providers Receive and process information from pharmacies, including prescription updates, refill requests, and clarification notes, ensuring timely communication to providers and NPs Prepare, organize, and update client files and documentation in compliance with privacy and confidentiality requirements Support Psychiatrists and NPs with administrative needs including correspondence, recordkeeping, and coordination of referral

Team and Unit Support



Assist in the coordination of meetings, case conferences, and internal communications for the Babishkhan Unit Maintain office supplies, forms, and resources required for the unit's operation Ensure accurate data entry and reporting as required Collaborate with other administrative staff across AHT to support seamless client care Perform other administrative duties as assigned by the Program Manager

Qualifications & Experience:



Diploma or certificate in Office Administration, Medical Office Administration, or a related field, or equivalent experience Minimum 2 years of experience in an administrative role, preferably in a healthcare or mental health setting Knowledge of medical terminology, mental health services, and indigenous health issues an asset Strong organizational, multitasking, and problem-solving skills Excellent interpersonal and communication skills, with a client-centered approach Proficiency in Microsoft Office Suite and electronic medical record (EMR) systems Ability to maintain confidentiality and demonstrate cultural safety when working with indigenous clients Knowledge of Indigenous culture, traditions, and approaches to healing is considered a strong asset
