Part-time Contract (up to 10 or 15 hours/week), $27/hour

This job is 95% remote. Most work will be carried out during business hours. We prefer that the successful candidate reside in the Greater Toronto Area, as they will need to visit our Downtown Toronto office for training.

As our

Administrator

you will be responsible for the efficient scheduling of our walking tours. This includes coordinating with teachers and schools to place tour bookings, scheduling tour guides, collecting payments, maintaining accurate booking records, and assisting with the upkeep of procedural documentation.

You will use your strong analytical skills to efficiently match reservations to guide availability using our booking management and staff scheduling software. Being highly organized and detail-oriented is crucial for the success of this role, as you will be tracking a large volume of scheduling requests. Familiarity with downtown Toronto is a definite advantage.

The estimated workload is up to 10 or 15 hours per week during the Fall (early September to early December) and Winter/Spring (January to late June) tour seasons. There will also be a smaller volume of work over the summer months (July & August). A laptop will be provided.

Duties and Responsibilities:

Coordinate with schools and teachers via email and phone to schedule walking tours. Manage and maintain accurate records of bookings, tour schedules, and payments using the company's booking system. Provide assistance to teachers and schools with forms and bus arrangements. Maintain an efficient and effective tour guide scheduling system. Assist with the maintenance up-to-date documentation: e.g. procedural documents, safety protocols and guidelines. Assist with marketing efforts. Perform other related duties as assigned by management.
Qualifications:

Bachelor's degree in a related field or equivalent experience At least 2 years of experience in customer service, administrative roles, or event planning. Strong analytical and problem-solving skills. Detail-oriented and highly organized with excellent time management skills. Strong computer/internet skills. Proficiency with MS Office (Word, Excel), Google Suite, instant messaging applications. Experience using online staff scheduling and reservation management software is an asset. Familiarity with social media marketing and tools is an asset. Ability to work independently in a remote setting, with a strong sense of self-motivation and accountability. Live in or near Toronto today; a familiarity with the layout of Downtown Toronto is a definite advantage Excellent communication and interpersonal skills.
