We work closely with landowners, clients, nurseries, and subcontractors to deliver high-quality tree planting and environmental restoration projects. We are seeking a resourceful and highly organized Administrator to support the Leadership and the Management Team to ensure projects run smoothly from planning through post-planting.

Position Summary



Reporting to the Leadership Team, the Administrator will provide hands-on administrative, coordination, and operational support across the business. This multifaceted role blends project coordination, contract administration, reporting, and internal follow-through.

The Administrator will be the backbone of day-to-day operations, ensuring projects are well-documented, contracts are tracked and current, action items are followed up on, and information flows smoothly between internal teams and external partners. This role is ideal for someone who thrives on variety, excels at organisation, and takes pride in keeping details, systems, and processes running efficiently. A successful candidate would be a self-motivated professional with strong problem-solving skills who works independently and adapts quickly in dynamic, fast-paced settings

This is a remote full time position with a flexible schedule.

Key Responsibilities



Project & Program Coordination



Coordinate project setup by gathering landowner information, project details, and required documentation. Support alignment across stakeholders, including clients, nurseries, subcontractors, and internal operations teams. Coordinate authorization, land use and approvals for operating on crown lands. Track project progress, project expenses against budgets, milestones, and post-planting survey outcomes, flagging issues or delays early. Enter, maintain, and manage project data across spreadsheets, systems, and applications. Maintain standardized project documentation, templates, and filing structures. Manage subcontractor programs and deliverables, ensuring timelines, expectations, and reporting requirements are clear. Track leadership meeting action items and follow up to ensure commitments are completed. Maintain GIS mapping layer files.

Contracts & Client Administration



Support execution of landowner, customer, vendor, and subcontractor agreements. Maintain a centralized contract master, tracking contract status, key dates, amendments, and deliverables. Ensure timely administration of contract renewals, amendments, and customer agreement modifications. Maintain accurate and up-to-date contract records within shared systems and repositories. Support contract compliance by tracking obligations and escalating risks or delays to leadership as needed.

Reporting & Communication



Support internal and external project reporting by compiling inputs, maintaining trackers, and preparing summaries. Maintain dashboards or tracking tools to provide leadership with clear visibility into project and financial status. Facilitate clear, timely communication between internal teams, subcontractors, vendors, and external partners. Provide routine support for vendor coordination, including R&D equipment procurement and operations tracking tools. Prepare briefing materials, summaries, and documentation to support leadership decision-making.

General Administration Assistance



Provide general administrative support to the Leadership team as required, including information gathering, scheduling, document preparation, deposit physical cheques at the bank, manage physical mail, and other ad hoc tasks to support business operations.

Qualifications



5+ years of experience in administration, operations, or project coordination, preferably in environmental, forestry, or land-based sectors. Strong organizational skills with the ability to manage multiple streams of work simultaneously. Experience supporting contract administration and maintaining contract trackers; contract management experience is a strong asset. Excellent written and verbal communication skills. High attention to detail and strong data management skills. Proficiency in Google Workspace applications (Gmail, Drive, Docs, Sheets, Slides). Demonstrated ability to handle sensitive information with discretion and sound judgment. Self-starter with a proactive, solution-oriented mindset and the ability to work independently with minimal supervision in a fast-moving environment. Familiarity with budgets

Considered an Asset



Experience supporting environmental, forestry, or ecosystem restoration projects. Familiarity with tree planting operations or land-based programs. Familiarity with Canadian tree, shrub, plant and wildlife species. Comfort working in small teams and wearing multiple hats. Seedling development and tracking experience GIS knowledge

Generous salary of $70,000-$85,000 with an additional 20% discretionary annual performance bonus (total potential compensation of $84,000 - $102,000).
