Job Description

ESW Building Services Inc. is seeking an

Administrator/ Project Coordinator

to help streamline workflows and provide vital administrative support across our construction and renovation projects. This role is perfect for a detail-oriented professional who thrives in a dynamic setting, enjoys balancing organization with problem-solving, and can coordinate effectively with internal teams, trades, and external partners. This subcontracting role combines operational support with hands-on project administration.

Key Responsibilities



Assist with day-to-day project operations, including scheduling, budget tracking, and documentation management. Use tools such as Jira and Kanban to monitor progress, update timelines, and ensure milestones are achieved. Collect and analyze project information, preparing reports to support decision-making and risk management. Act as a communication hub between office staff, trades, vendors, and stakeholders to keep tasks aligned. Provide status updates and highlight challenges or risks to leadership for timely resolutions. Ensure compliance with on-site regulations, notices, and safety standards. Coordinate attendance of trades, confirming task completion and follow-ups as required. Prepare, print, and organize documentation and reports to maintain accurate project records.

Qualifications & Skills



Prior experience in operations, project administration, or a similar support role. Familiarity with construction or renovation industry practices is a strong asset. Highly organized with the ability to manage multiple priorities at once. Strong attention to detail and proficiency in data tracking/reporting. Clear and professional communication skills, both written and verbal. Comfortable collaborating with diverse teams and managing vendor relations. Knowledge of project management methods and digital tools.
