The Role



We're looking for an Administrator to be the foundation of our organization, someone who loves variety and thrives in a role where no two days are the same. You'll keep our office running smoothly, provide finance and bookkeeping support, and help deliver high-energy events like galas, awards, and luncheons. You'll also be a friendly and professional first point of contact for our members and partners.

The Opportunity



We are looking for a detail-oriented, solutions-oriented, and adaptable Administrator to join our small team. This role is central to how we work, from keeping the office organized and finances on track to helping deliver events that bring the industry together.

If you like variety, enjoy working with people, and want to see the direct impact of your efforts, this position offers both challenge and reward. You'll work closely with the CEO and staff while also engaging with members, partners, and community leaders.

Key Responsibilities



Administration (40%)



Provide day-to-day office support including scheduling, filing, and organization. Support the CEO and team with logistics and coordination. Support board and committee volunteers. Maintain contact databases and mailing systems. Monitor supplies and ensure smooth operations.

Finance Support (25%)



Support accounts payable and receivable, invoices, and reconciliations. Coordinate with the external accountant services providers and help maintain financial records. Assist with annual and event-level budget tracking.

Events (25%)



Help organize events such as galas, luncheons, awards, education sessions, and mixers. Coordinate logistics including venues, catering, AV, registration, and communications. Assist with sponsorship recognition and event follow-up.

Member Services (10%)



Provide responsive and friendly service to members, sponsors, and partners. Assist with onboarding and renewals. Support use of project management tools to track engagement.

Qualifications



At least three years of experience in administration, coordination, or a similar role. Working knowledge of bookkeeping and finance. Event support or project coordination experience. Proficiency in Microsoft Teams and Office Suite; knowledge of Asana or CRMs is an asset. Strong attention to detail, ability to balance competing priorities, and excellent interpersonal skills.
