THE ROLE
Melbourne Property Management is looking for an experienced Administrator to join our team. Responsibilities will include providing status certificates within the specified time frame, assist with AGM packages/documents, create new folders in SharePoint and provide admin support to the admin team.
Start Date: ASAP
As an
Administrator
, you will:
Furnish Status Certificates as per process
Assist with preparation of Annual General Meeting and turnover package/documents
Create new property folders in SharePoint
Update the Community List spreadsheet as required
Save registered documents that are received in the "Registered" folder and "Status Certificate Master" folder
Assist with preparing government regulated documents required by the Condominium Authority of Ontario
Responsible for the retrieval of new client owner information includingcommunicating with the Declarant's lawyer or previous management company and ensuring all relevant documents are scanned in SharePoint. Follow-up for any missing information with Property Accountant
Responsible for document transition to a new Property management company as required
Maintain database and company directory in excel
Cross Train among other team members
Additional duties as assigned
YOUR QUALIFICATIONS
3-5 years of administrative experience is required
Experience in condominium management industry preferred. Experience with status certificates is considered an asset.
Post-Secondary education or an acceptable combination of education and relevant experience preferred
Highly proficient with Microsoft Office applications, specifically Excel, Outlook, Word, Teams, SharePoint
Hands-on experience with spreadsheets
Aptitude for accuracy and attention to detail
Highly motivated and deadline driven work ethic
Proactive with
Excellent communication and interpersonal skills
Open to ideas, willing to ask for help, flexible, thinks outside the box, able to admit when a mistake is made, and learn from the experience
Work with a team who are less concerned about how Condominium Management has always been done in the past, but rather how could it be done better or differently in the future
