Position Summary
The Administrator will be the backbone of daily operations, ensuring smooth communication, managing customer interactions, and helping the companies run efficiently. You'll handle
inquiries, bookings, price quotes, invoicing
, and respond to
emails, calls, and social media messages
--all from one central role.
Key Responsibilities
General Admin & Communication
Respond promptly to
emails, phone calls, and messages
across all companies
Act as the first point of contact for all customer inquiries
Manage and schedule bookings for limousine rides, boat rentals, and detailing appointments
Booking & Operations
Maintain digital booking calendars for all services
Provide accurate
price quotes
based on service requests
Coordinate with field staff for daily scheduling and job prep
Invoicing & Payments
Create and send
invoices
to clients
Track and follow up on payments as needed
Maintain simple records for accounting purposes
Social Media & Customer Engagement
Monitor and respond to
DMs and comments
on platforms like Instagram and Facebook
Forward leads to the appropriate teams or close the sale directly when applicable
Requirements
Administrative or customer service experience
Strong multitasking and time management skills
Excellent written and verbal communication
Proficient in Meta Business, basic invoicing tools (i.e. Wix and Booquable), and social media platforms
Detail-oriented, reliable, and proactive
Nice to Have (But Not Required)
Experience in the
automotive, hospitality, or service
industries
Familiarity with booking platforms (e.g., Wix, Booquable, Eventbrite)
Social media savvy (Instagram and Facebook)

Schedule:
Day shift

On call
Weekends as needed

Kelowna, BC V1X 7E1: reliably commute or plan to relocate before starting work (preferred)
