Administrator
with a "can-do" attitude to join our team. We are a growing company with a lot to offer the right individual. While we have many policies and procedures in place, there is still room to refine and systemize a few things.
The right person for this role needs to be adaptable to changing situations and help provide solutions to issues as a key team member.
Hours of Work:
Monday - Friday (8:00 AM - 4:00 PM) - Holidays off, may need to work weekends during irrigation start up/shut down season as required.
The Day to Day
(in order of importance)
Deliverable 1 - Customer Interaction
Ensure all customer inquiries (phone, email, in-person) are addressed promptly:
Answer phone calls in a timely manner.
Assist in-store visitors with their questions or concerns.
Respond to emails within one business day or enable an auto-reply with redirection.
Process web forms according to company policy.
Maintain a positive, customer-first attitude.
Review technician notes from the previous year and compile a list of required repairs.
Email clients regarding potential repairs for 2025, providing cost estimates when possible.
Develop an irrigation start-up and repair schedule with a flexible start date, subject to approval from management.
Follow up with non-responsive clients around May 1st.
During Season:
Schedule start-ups, DVCA inspections, repairs, and winterizations efficiently.
Keep technicians and customers informed of schedule changes.
Schedule work through LMN.
Invoice services within two business days of completion.
Apply up to 10% discounts as needed; anything above requires management approval.
Send irrigation blowout emails in early September.
Deliverable 3 - Health and Safety & HR Administration
Process hazard assessments and conduct new hire orientations using company checklists and slideshows.
Deliverable 4 - Construction Administration
After booking consults, ensure job files are created, and customers provide their RPR.
Confirm consultations a day in advance.
Perform Alberta One Calls, apply for street use permits, and complete contract administration.
Deliverable 5 - Miscellaneous Administrative Help
Assist with various administrative duties, including filing, sorting receipts, handling accounts receivables, and Babbling Brooks maintenance and sales.
As a condition of employment, the selected individuals will have to show proof/competency in the following: Administration, Technical Aptitude as well as have Personal Transportation.
