  • This position provides the option to work from home on Mondays and Fridays each week, with the requirement to report to the primary NOVA Chemicals work location on Tuesdays through Thursdays. Employees can opt out of the hybrid schedule and will be expected to work Monday-Friday from the primary work location.

We are seeking an Export Invoicing Administrator to join our Commercial Export team. Reporting to the Leader, Logistics Commercial Export, you will support the management, processing and dispute resolution of supplier invoices related to ocean and drayage carriers and offsite packaging.

This position is located at our NOVA Head Office in Calgary, Alberta.

You Will Use Your Expertise To:
  • Review vendor invoices for validation/approval to ensure payment on a timely basis. Freight vendors include ocean carriers, drayage providers and offsite packagers
  • Work directly with vendors on invoice disputes for resolution and/or decline invalid charges - provide internal support to Accounts Payable in reconciliation of invoice discrepancies
  • Handle detention/demurrage disputes/requests directly with the carriers for resolution
  • Work with the Logistics Operation team to validate exception charges
  • Provide coding (Cost Center/Cost Element) for ad hoc charges to Accounts Payable for invoice processing
  • Validate, approve, and provide coding to Accounts Payable for off-site storage invoices (inventory reconciliation)
  • Reconcile discrepancies between SAP accruals and vendor invoices
  • Review/reconcile Vendor Statement of Account in collaboration with Accounts Payable
  • Maintain documented processes for areas of responsibility and update as needed
  • Complete Ad hoc reporting as required
  • Work in liaison with the Commercial Export team and Accounts Payable team
What We Are Looking For:
  • University graduate, preferably with a focus on accounting, with 1 - 3 years related experience or 5 - 7 years combination of post-secondary education and related experience and some professional development.
  • Working knowledge of SAP and proficient computer skills in Microsoft Office Suite (primarily Microsoft Excel and Teams)
  • Familiarity with SharePoint would be an asset
  • Self-motivated with strong organizational and time management skills with the ability to handle multiple tasks and priorities
  • Strong attention to detail
  • Ability to interact and collaborate with numerous internal and external partners
  • Ability to function independently in a team environment with minimal guidance

Additional Information:
  • Relocation will NOT be considered for this position
  • Compensation will be commensurate with education and experience
  • This role requires up to 0-10% travel
