Job Overview


We are seeking a highly organized and detail-oriented Administrator to join our team. The ideal candidate will be responsible for managing a variety of clerical and administrative tasks to ensure smooth office operations. This role requires excellent communication skills, proficiency with office software, and the ability to handle multiple responsibilities efficiently. Experience in medical or dental office settings is a plus, but not required. The Administrator will serve as the first point of contact for clients and staff, providing exceptional customer service and support.

Duties



Manage front desk operations, including greeting visitors and answering multi-line phone systems Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks Handle filing, document proofreading, and organization of office files Provide customer support via phone and email, ensuring professional phone etiquette Assist with bookkeeping tasks and basic accounting using QuickBooks or similar software Support medical or dental office functions such as scheduling appointments and managing patient records (if applicable) Coordinate appointments, meetings, and office schedules to optimize workflow Maintain organized workspaces and ensure compliance with office policies Support administrative projects as needed to improve office efficiency

Qualifications



Proven experience in administrative roles or clerical work, preferably in medical or dental offices Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and QuickBooks Excellent organizational skills with keen attention to detail Ability to handle multiple tasks simultaneously while maintaining accuracy Effective communication skills, including phone etiquette and customer service experience Typing speed of at least 40 WPM with proofreading abilities Experience with data entry, filing systems, and multi-line phone systems is preferred Knowledge of medical or dental office procedures is a plus but not mandatory Prior experience with bookkeeping or basic accounting is desirable
