Your Opportunity:
This Administrative Support VI position is based at South Health Campus in Calgary and plays a vital role in supporting the Department of Family Medicine Postgraduate Program. As the South Division Coordinator, you will be responsible for coordinating all aspects of residency training within one of three divisions in the program. In this role, you will manage day-to-day operations, resolve resident issues, contribute to policy development, and advise the Division Director. All while applying in-depth knowledge of residency program requirements, University of Calgary Postgraduate Medical Education (PGME), the College of Family Physicians of Canada (CFPC), and the Professional Association of Residents of Alberta (PARA). You will administer key program functions, including processing call stipends, vacation requests, expense claims, and attendance tracking, while ensuring timely completion of assessments, progress reviews, and promotion requirements. Maintaining accurate records, implementing policy changes, and handling sensitive academic and personal matters with professionalism and confidentiality. The incumbent will also be our Calgary designated AIMG: Alberta International Medical Graduate administrator. Required Qualifications:

Completion of post-secondary education (e.g. diploma in business or office administration, specialized external certification).

Additional Required Qualifications:

Strong communication abilities & proven facilitation skills, along with experience liaising & consulting with diverse stakeholders. Requires sound judgment & confidence in decision-making. Maintaining accurate records & documentation, handling sensitive academic & personal matters with professionalism & confidentiality, and fostering a respectful & supportive environment are key expectations. Advanced problem-solving skills & the ability to guide residents to appropriate resources are critical to success in this position. Serves as a key resource for program leadership, contributing to the development of policies and procedures, while applying in-depth knowledge of Residency Program requirements. Proficient with MS Office Suite, specifically Excel, Outlook, Teams, as well as Zoom. Exceptional oral and written communication, interpersonal skills, and ability to build relationships with various partners. Demonstrated expertise in data management, reporting, and statistical analysis. Proven accuracy and attention to detail, creativity, and resourcefulness. Strong critical thinking, critical analysis, audience-appropriate communication, and advanced technical writing skills required. Facilitation skills with experience in undertaking liaison and consultations with multiple and diverse stakeholders. Strong demonstrated ability & comfort with decision making responsibilities.

Preferred Qualifications:

Experience in medical residency program administration or related experience in a highly responsible administrator role, preferably in an academic or clinical environment. Demonstrated competence in time management, strong planning and organizational skills, and ability to work independently with minimal supervision and an aptitude for problem solving.
