Description of Duties and Responsibilities


The SCS Administrative Support reports to the Program Manager and provides direct day to day office support for SCS teams. This administrative position entails client reception, file management, document preparation, staff meeting coordination and minutes, maintaining and ordering supplies, coordination of staff schedules and documents and
preparing reports and statistics. The Administrative Support maintains regular communication with the Program Manager is able to work independently when required, foresees potential needs and requests, and has good time management skills.

Reception and Office



Answers the phones and appropriately routes public and client inquiries Undertakes general office duties including faxing, photocopying, typing, filing, letter writing and any other duties requested by the Program Manager Prepares reports and statistics as required, in consultation with the Data Manager as appropriate Maintains the SCS contact list Submits monthly documents to Executive Office Assists with maintaining shift schedules Works with spreadsheets and databases to ensure best practices in tracking client and staff information Works with Program Manager to ensure that program and staff are compliant with -Accreditation Standards and maintains best practice Maintains file systems including archiving and shredding Completes data maintenance on FYI database

Staff Support



Sets up and trains staff on phones, FYI and e-mail systems Provides new hires with training forms and information Assigns lockers, mailboxes and email/log in requests Maintains staff time sheets

Supplies and Building



Inventories, purchases and tracks supplies for SCS Finds and compares quotes to insure lowest costs Stocks and maintains supplies for clients and staff Records and reports on all donations Processes and delivers confiscations Provides and manages parking passes and staff ID Any other related task or responsibility assigned by the Program Manager

Position Qualifications



Minimum Grade 12 education with experience Demonstrated level of typing and bookkeeping skills sufficient for job responsibilities Advanced technical skills working with MS Office applications (Word, Excel, Outlook and PowerPoint) Excellent organization and multi-tasking skills Attention to detail and follow-through skills Strong interpersonal skills Excellent oral and written communication skills Demonstrated level of maturity, including ability to work in an independent manner
