Your Opportunity:

The Administrative Support IV fulfills a variety of secretarial responsibilities for the Department of Anesthesiology and Pain Medicine. Coverage/Support for UAH OR Scheduler. Daily Out of Operating Room list compilation. Daily Operating Room Slate. Mail, sorting and delivery to anesthesia lounge and breakroom on Level 3 (AHS level 3 access required). Reception in the Dept of Anesthesiology and Pain Medicine. General Office Duties. Monitoring 3 email addresses (Fellowship Applications/Inquires. Gmail for the University of Alberta and AHS Outlook). Phone Calls (messages and forwarding of calls/inquiries), Ordering/receiving/shipment of packages as required. Admin support for the Anesthesiology Fellowship Director (Financial Reporting, Updates). Billing/Training for the Scholars/Fellows. Admin point of contact for Scholars/Fellows. On-boarding for Scholars/Fellows both Canadian and IMG. Coordinating start dates with AHS/Medical Affairs/PGME/Physicians Resources Admins. Ongoing Learning to keep up to date on new policies and procedures (UofA/AHS/CPSA). Reporting and Maintaining Spreadsheets/Drive for the Fellowship Dept. Updating Fellowship and Reception/Smartboard Procedures/Manuals. Assisting with Smartboard set-up for Meetings. Admin support for Quality and Equipment Committee (Calendar management, Agenda, Minutes, meeting attendance). Admin support for the Dept of Anes and Pain Med Conference Room (Calendar Management - Catering). Monthly SCH SOC Reports and Monthly Schedule Reporting for Anesthetists at the Sturgeon Community Hospital (for those that work at multiple sites).

Required Qualifications:

Some post-secondary education. Additional Required Qualifications:

Completion of Grade 12, post-secondary secretarial/administration certificate or equivalent an asset. Thorough knowledge of computers and various software (Word, Excel, PowerPoint, Visio, Microsoft Outlook, Google Office Suite), excellent time management skills, ability to multi-task, strong teamwork skills, minimum typing speed of 50 wpm, excellent formatting, grammar, syntax and proof-reading skills, excellent customer service skills and personal initiative are required for this position. Experience with Adobe Creative Suite would be an asset; however, training can be provided. An interest in desktop publishing website maintenance is essential. Interest and general knowledge of the medical/surgical setting would be considered an asset. An ability to work independently with minimal direction is essential. Preferred Qualifications:

PeopleSoft Financials - AHS Connect Care - QGenda - ROCA - Insite - ePeople - Smartboard.
